Ambulatory Care Department CoordinatorUnder the supervision of the Director of Ambulatory Care, the Ambulatory Care Department Coordinator provides a wide variety of high-level administrative support to ensure department compliance, optimal clinic staffing, and accurate reporting.Essential Functions of the Job:Schedules department meetings, prepares agendas, records and distributes minutes; schedules travel arrangements as needed.Gathers, enters and updates data to maintain a meticulous filing system of all department documents.Schedules staff development trainings and maintains records to ensure compliance with health plan regulations.Maintains current records of department staff certification/licensure as required by local/state/federal agencies.Perform data collection, analysis and reporting for process improvement and decision-making purposes.Collaborates with clinic leadership to successfully manage multiple clinic schedules and respond to individual clinic staffing needs in a timely and accurate manner.Develops tools and reports to support administrative projects and operations related to patient services and accreditation.Assist in coordinating and obtaining necessary resources for successful implementation and ongoing management of department projects.Responds to request for information related to internal and external reporting requirements.Prioritizes work assignments to efficiently meet all deadlines.Assist in completion of program and health plan applications and licenses.Collaborates with HR to optimize efficiency of hiring process to meet department staffing needs.Maintains a current database of all department Policies and Procedures.Additional Duties and Responsibilities:Enhances professional growth and development through participation in educational programs, current literature, in-service meetings and workshops related to department services.Attends meetings and participates on committees as required.Performs other duties as assigned.Job Requirements:Experience Preferred:Previous administrative experience working in a Federally Qualified Health Center with knowledge of daily clinic operations and reporting requirements.Education Required:High School Diploma or GED equivalent.Verbal and Written Skills Required to Perform the Job:Excellent written and verbal communication skills.Technical Knowledge and Skills Required to Perform the Job:Computer literate; intermediate to advanced knowledge of Microsoft Office. Well organized with excellent time management skills.Equipment Used:Computer, printer/fax, telephone, and other general office equipment.Working Conditions and Physical Requirements:Frequent prolonged periods of sitting. Occasionally subject to multiple telephone calls and inquiries. Requires traveling to multiple clinic sites within San Diego County. May be required to work evenings and/or weekends and attend meetings outside of regular working hours.Universal Requirements:Pre-employment requirements include I-9, physical, positive background and reference check results, complete application, new hire orientation, pre-employment PPDs. Compliance with all mandated vaccinations and all boosters is a term and condition of employment.
