Vice President Of Project ManagementThe Vice President of Project Management at Active International will provide strategic leadership and operational oversight for the company's enterprise-wide project portfolio, guiding a small, high-impact team responsible for governing and enabling concurrent initiatives across technical and operational groups. This role will establish and enforce standardized project management methodologies, stage-gates, and compliance frameworks to ensure consistency, quality, and accountability across the organization. The VP will maintain a consolidated view of the project pipeline, lead intake and prioritization based on strategic value, ROI, and capacity, and proactively manage portfolio-level risks, dependencies, and bottlenecks. Serving as a key partner to senior leadership, this role will deliver clear executive visibility through rigorous reporting, dashboards, and analytics, ensure data integrity across PM and operational systems, and drive continuous improvement through audits, post-mortems, and the adoption of best practices that support Active's business objectives and growth.The AMS Project Management Office follows a "Controlling" design from the Supportive / Controlling / Directive project management model. Other departments will manage project execution while the central PMO is responsible for oversight including leadership team reporting, prioritization, risk assessments, and quality assurance. The PMO team will also be responsible for supporting project teams with thought leadership and technical solutions that can improve project tracking and execution.The ideal candidate will bring 10+ years of progressive project and portfolio management leadership experience, with a proven track record overseeing large, complex portfolios in a media, agency, or similarly fast-paced, cross-functional environment. They will have successfully built and enforced enterprise PMO governance, standardized methodologies, and stage-gate processes that improved delivery predictability, compliance, and stakeholder confidence.ResponsibilitiesEssential Duties and ResponsibilitiesGovernance & Process ComplianceDefine and maintain standardized project management methodologiesEnforce stage-gates, approval flows, and documentation standards.Conduct periodic audits of project plans and deliverablesEnsure teams follow agency-wide compliance, legal, and quality requirementsPortfolio & Pipeline ManagementMaintain a consolidated view of all active and upcoming initiativesSupport prioritization based on strategic value, ROI, and capacityMonitor portfolio-level dependencies and bottlenecksOversee the intake process for new projects or campaignsRisk Management & Health MonitoringIdentify project risks early and maintain a structured risk registerMonitor project health, including schedule, scope, and stakeholder alignmentEscalate issues and propose mitigation or resolution pathsConduct post-mortems and implement learnings across teamsReporting, Analytics & Executive VisibilityProvide ongoing portfolio reports to senior leadershipStandardize dashboards for utilization, pacing, risks, change history, and costsEnsure data integrity across PM, time-tracking, and operational systemsOwn configuration and standards for project management tools.AI Expertise: Using currently available or bespoke AI tools to help business units reduce workload, speed time to insights, save money.Qualifications10+ years experience in project, program, or portfolio management, with at least 5 years in a senior leadership or PMO leadership roleBachelor's degree required; MBA, PMP, PgMP, or equivalent certification strongly preferredHands-on experience selecting, configuring, and governing project management and time-tracking tools (e.g., Jira, Smartsheet, Workfront, Asana, or similar)Experience in media, agency, marketing services, or similarly complex, deadline-driven environments preferredExperience with projects related to maintenance and continuity for ERP finance and HR systems is a plusExperience with projects related to maintenance and continuity for media stewardship systems and mar tech products is a plusDemonstrated success establishing enterprise-wide project management frameworks, governance models, stage-gates, and compliance standardsStrong portfolio and pipeline management expertise, including intake, prioritization, capacity planning, and dependency managementAdvanced reporting and analytics capabilities, with a track record of delivering clear, actionable dashboards and insights to senior leadershipExceptional executive communication, stakeholder management, and change leadership skillsTechnical Skills:Advanced proficiency with enterprise PM platforms including Jira and AsanaTime-tracking, resource management, and utilization systemsExperience with dashboarding tools including Power BITravelThis position does not require regularly scheduled travel.Unfortunately, we are unable to sponsor or take over sponsorship of an employment Visa at this time.The salary for this role is $200,000. The successful candidate's salary will depend on the actual ranges of current employees in the subject position, market considerations, budgetary considerations, geography, as well as the candidate's skill set, level of experience, and qualifications.
