Maintenance Planner

UIRC a Vibrant Real Estate Company is currently seeking a Planner Scheduler to be based out of our Lemont, IL office. This position will be responsible for coordinating, planning, assigning, and reporting work tickets to Maintenance Personnel for a portfolio of commercial buildings. The ideal candidate will be responsible for the overall performance and productivity of the maintenance staff, ensuring safety standards while optimizing schedules and processes.
Primary Responsibilities:
Create weekly schedules for individual technicians based on workload and priority of respective building portfolio.
Ensure preventative and corrective maintenance tasks are entered into the Work Order System (Computerized Maintenance Management System).
Create work orders, assign, and direct daily workflow for all technicians;
Understand field resourcing needs and work scope for each job
Coordinate for all supporting materials and/or packages to be sent to the field for better efficiency and tenant satisfaction.
Communicate detailed updates on Work Orders by corresponding with technicians, Facility Managers, tenants, and vendors.
Evaluate completed work orders for accuracy and close out.
Create weekly billing and upload to relevant Work Order
Develop and maintain accurate documentation related to maintenance activities, including work orders, maintenance logs, and equipment histories.
Ensure all requirements as specified by the manufacturer of equipment systems are met, and equipment operations, repairs, modifications, and maintenance meet environmental protection and safety requirements.
Performs additional responsibilities as requested
Maintain and improve operational policies and best practices including standard processes and procedures, application of policies and programs, etc.
Ensure compliance with portfolio wide initiatives and required local, state, and federal laws and regulations that pertain to the operating of facilities.
Skills And Experience
High School graduation or GED is required.
2-5+ years previous experience managing Computerized Maintenance Management Systems (CMMS) is preferred
Ability to work cooperatively with other technicians, engineers, and management
Strong interpersonal skills and problem-solving ability.
Excellent interpersonal, verbal/written communication, negotiation, and presentation ability.
Superior customer service, relationship building and follow up skills.
Computer skills including the ability to operate corporate email, spreadsheets, word processing at a highly proficient level.
