Project Coordinator - Onsite - Lenexa, KS (Multiple positions)

What does the Project Coordinator do?

In this position you will be:
  • Developing an understanding of our customer's project requirements, systems, and processes to add value and build customer loyalty.
  • Developing and coordinating documentation submittals, product status updates, shipping releases, and general order management communication.
  • Partnering with factory personnel to meet contractual obligations, drive delivery dates and maintain schedule while providing consistent manufacturing status updates to the customer.
  • Identifying, building, and maintaining relationships with our customers' purchasing, expediting, and operations staff.

Experitec and Emerson Process Team and Other Equipment Sub-Supplier Responsibilities:
  • Understand the processes, tools, systems, and technology to effectively manage order fulfillment, support required schedules, and effectively communicate problems and requirements.
  • Communicate requests for quotations, product information, communications, and requirements defined by project team to Account Manager, Inside Sales Engineer, or Sales management.
  • Coordinate and lead internal kick-off meetings with Experitec and Emerson personnel to discuss Request for Quote (RFQ) requirements and align on responsibilities.
  • Review purchase orders and develop a schedule of order fulfillment activities, schedules, and processes to meet customer's needs.
  • Assign tasks to team members to complete order requirements.
  • Take ownership of meeting or exceeding submittal schedules for project orders.
  • Assist Document Controller with processing, tracking, and submitting documentation to customer.
  • Review order processing requirements and deadlines to ensure order entry is complete and accurate. Communicate any post-award changes to Project Administrator and monitor progress.
  • Work with Emerson Project Management and other sub-suppliers to obtain correct documentation, equipment releases, and communicate changes or additional customer needs.
  • Manage and expedite orders with Emerson Process Management and other sub-suppliers to maintain schedules and meet expectations.
  • Work with the Project Administrator and accounting team to provide documentation for the final billing and project close-out of each package to the customer.

This position is part of our Order Fulfillment team within Sales organization with the specific title of Project Coordinator.

Required Skills, Experience & Abilities:
  • High school diploma or equivalent.
  • One or more years of customer service work experience.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint), Outlook email, and basic computer skills.
  • Ability to work in office on Monday through Friday from 8am-5pm and to occasionally work additional hours upon request.
  • Ability to drive for the company with a valid driver's license and the ability to pass driving record background check.
  • Ability to utilize personal vehicle for the majority of work travel AND ability to rent a car when requested by supervisor for work travel.
  • Strong ability to manage multiple tasks, projects, and competing priorities while coordinating timelines and communicating status updates in a fast-paced environment.
  • Ability to escalate issues appropriately and in a timely manner.
  • Strong out-front communication skills. This role collaborates externally with customers and internally with cross-functional teams. Must be able to take and give direction clearly over the phone and in person.
  • Demonstrate a professional, driven, positive, and collaborative attitude and work ethic.
  • Ability to lift and move up to 10 lbs.
  • Ability to follow established procedures while looking to provide input and ideas for improvement.
  • Ability to understand and assign tasks, monitor activities, and mentor others in a positive manner.

Preferred Skills, Experience & Abilities:
  • Bachelor's degree OR associate degree with two or more years of relevant work experience OR equivalent combination of relevant experience and education.
  • Three or more years of experience in a position supporting sales.
  • Two or more years of experience working with engineers.
  • One or more years of accounting experience.
  • Two or more years of experience planning and coordinating projects.
  • Two or more years of work experience in process automation or industrial maintenance.
  • Experience suggesting process improvements that impacted the business.
  • Demonstrated track record of general business acumen through internship or equivalent on-the-job training.

Opportunities to make an Impact:
  • The Project Coordinator will collaborate with the other Project Coordinators, Insides Sales Engineers, and Account Managers within the company to achieve customer goals.
  • Keep internal and external customers updated on the project status to ensure successful project execution.
  • Work internally to provide value to the company while the Account Managers manage customer expectations.
