About the Role:

Our client is seeking a highly motivated and detail-oriented Production Coordinator to join their team. The ideal candidate will play a crucial role in managing the pre-production needs of various live and virtual projects, ensuring seamless coordination and execution of all event elements. Key Responsibilities:

Pre-Production Management:

  • Assist in the management of all pre-production activities for live and virtual projects, including developing production timelines, coordinating schedules, and managing resources to ensure timely delivery of all project components.

Coordination with Internal Teams:

  • Collaborate closely with sales, logistics, and onsite technical staff to create a more streamlined approach to complex events. Act as a bridge between different departments, ensuring clear communication and efficient execution of all production tasks.

Event Logistics Support:

  • Provide support in all aspects of event logistics, including equipment selection, venue coordination, vendor management, and transportation planning. Ensure all logistical details are meticulously organized to guarantee the success of both live and virtual events.

Technical Support for Virtual Meetings:

  • Assist in planning and executing virtual meetings, webinars, and hybrid events. Work closely with the technical team to ensure all virtual events run smoothly, from pre-production through post-event wrap-up.

Equipment Selection and Management:

  • Participate in the selection and procurement of appropriate equipment for each project. Ensure that all equipment needs are met, and troubleshoot any issues that arise during pre-production or live events.

Collaboration with Vendors and Venues:

  • Liaise with external vendors, venues, and partners to negotiate contracts, manage logistics, and coordinate deliveries. Build and maintain positive relationships with all stakeholders to ensure smooth project execution.

Pre-Production Planning:

  • Develop comprehensive pre-production plans, including technical drawings, stage layouts, and production schedules. Utilize software such as Vectorworks and AutoCAD to create detailed and accurate plans.

Documentation and Reporting:

  • Maintain thorough documentation of all pre-production activities, including budgets, timelines, equipment lists, and vendor contracts. Prepare regular reports for management to track project progress and highlight any potential issues.

Problem Solving:

  • Proactively identify and resolve any potential production challenges, finding innovative solutions to ensure projects are delivered on time and within budget.


Qualifications:

Industry Experience:

  • At least 7 years of experience working in the Live Event/Staging and Trade Show industry, with a proven track record of managing complex production needs.

Technical Expertise:

  • Strong knowledge in production, virtual meetings, and equipment selection. Familiarity with different types of event technology and a solid understanding of the technical requirements for both live and virtual events.

Venue and Logistical Coordination:

  • Previous experience in venue and logistical coordination, including sourcing and managing venues, coordinating transportation, and handling vendor relationships.

Pre-Production Planning Skills:

  • Demonstrated experience in pre-production planning, including developing detailed timelines, coordinating schedules, and managing resources. Experience with production scheduling software is a plus.

Proficiency in Technical Drawings:

  • Knowledge of multiple areas of production, with a particular focus on creating and interpreting technical drawings. Proficiency in Vectorworks and AutoCAD is required.

Communication and Interpersonal Skills:

  • Excellent verbal and written communication skills, with the ability to effectively collaborate with a wide range of stakeholders, including clients, vendors, and internal teams.

Attention to Detail:

  • Strong organizational skills with exceptional attention to detail and the ability to manage multiple projects simultaneously.

Problem Solving:

  • A proactive approach to problem-solving, with the ability to think critically and make sound decisions under pressure.

Adaptability and Flexibility:

  • Ability to adapt to changing circumstances and work in a fast-paced, high-pressure environment, including occasional evening or weekend work as required.
