Job Summary: Four Peaks Surgery Center is seeking a highly organized and customer-focused Front Office Surgery Scheduler to join our administrative team. This role is vital in supporting daily clinic operations by creating a comfortable environment for patients on admission, obtaining and processing necessary information for patient admission and timely billing and scheduling surgeries. Key Responsibilities: 1. Patient communication: This position is the point of contact of the ASC with the patient, so the impression that you convey is critical. You are also the first chance for us to correct errors in the chart, screen out inappropriate candidates, and make sure communication is excellent between all providers. a. Have pleasant and supportive personal interactions with the patients, including phone courtesy. b. Do preoperative chart preparation, which includes labs and EKG's received from the physician's office. c. Make preoperative phone calls which will help the schedule run correctly the next day as well as give patient an opportunity to ask questions. d. Complete paperwork for patient check in: i. HIPAA compliance ii. Identification and insurance information iii. Any other additional forms needed e. Responsible for upkeep for the surgery waiting room by keeping it cleaned and stocked. 2. Surgical scheduling: a. Find solutions to on-site problems caused by late arrival times. b. Maximize case stacking. c. Confirm cases with physician's offices in advance via email, phone, or Allscripts, coordinate changes to current scheduled surgeries, and schedule new surgeries. 3. Pass all special requests of patients on to the correct doctor or employee 4. Postoperative billing: a. Perform chart checks for completion of chart and correct billing forms. b. Verify all necessary paperwork is sent to billing at the end of the day. c. Return incorrect billing sheets to the appropriate personnel for changes. 5. Repairs and Maintenance: a. Assist with scheduling of repairs and maintenance as necessary. 6. Charts: a. Ensure charts are complete within 72 hours post procedure. b. Complete follow up on operative reports and pathology reports. 7. Organization of medical records: a. Organize a filing system for miscellaneous paperwork, operative notes, pathology reports, etc. in patient charts and various log books. 8. Assist the Nurse Administrator as necessary. Requirements: • Strong communication skills, both written and verbal • Ability to adapt to changing schedules or workflows • Professional demeanor and dependable work ethic • Comfortable using multi-line phones and basic office technology Education & Experience Requirements: • High school diploma/GED required • Minimum 6 months of related administrative or front desk experience Work Environment & Physical Demands: • Regular use of phones, computers, and office tools • Occasional lifting (up to 25 lbs) • Requires sitting, standing, bending, and reaching • Moderate noise level typical of an office environment Qualifications Excellent written and verbal communication skills Excellent customer service skills are required Experience working in a medical office Ability to multi-task and work in fast-paced environment. Detail-oriented Basic understanding of healthcare plans Be able to read and understand medical benefits. Bilingual is a plus. Education: High school diploma or equivalent Experience: 2-5 years of prior medical scheduling is preferred Requirements for Level I Status: Entry level (1-4 years experience) and/or meet the basic requirements of the job with the need for additional supervision. Excess of 4 years experience if meeting only the basic requirements of the job with need for additional supervision. Performance Requirements: Excellent communication skills, both written and verbal. Proficient technical (computer) skills. Ability to multi-task and prioritize. Self-motivated with initiative. Strong sense of ethics. GI Alliance is an Equal Opportunity Employer.
