Summary:

Receives, assembles and/or distributes incoming and outgoing mail. Prepares mail to be scanned. Responsible for the operation of the scanner module within the Claims Imaging Unit. Maintains an archived storage area within the imaging operation. Takes previously scanned documents and indexes them to the correct claim, exposure and document type and route activities to the Adjusters. Dedicated to meeting the expectations and requirements of the internal/external customer.

Responsibilities/Essential Functions:

• Open mail by hand or machine.

• Remove staples, paper clips and envelopes from documents.

• Splits the contents of an envelope into documents

• Checks for basic required data.

• Inspect mail and sort the mail according to batch type.

• Insert the appropriate separator/batch sheet and prepare batches that will be sent to the scanner.

• Responsible for collecting batches from the Prep Operator Station multiple times daily and delivering to the Scan Operator station.

• Preps time sensitive/priority mail.

• Operate the mail truck for delivery/pick-up of mail multiple times a day.

• Follow daily start-up procedures for scanner module.

• Recognize and scan multiple batch types of documents.

• Responsible for moving scanned documents to a storage area.

• Accountable for maintaining a storage area of scanned documents.

• Responsible for retrieval of requested documents upon request.

• Adherence to document destruction policies and procedures.

• Issues the basic console commands necessary to control the Index Module

• Responsible for claim look-up and validation to ensure image is distributed to the proper recipient’s mail queue.

• Indexes scanned document to proper claim folder and identifies the document type.

• Performs visual quality checks on scanned documents.

• May prepare and deliver business documents to a second location.

• May handle SIU, Confidentiality class documents.


Essential Skills and Experience:

• Claims Knowledge and document identification is essential to perform the day-to-day responsibilities.

• Ability to apply and develop knowledge of basic personal computer applications.

• 1-2 years of previous claims mailroom or technical document handling experience

• Communicates effectively

• Easily adapts to new, different, or changing situations, requirements, or priorities

• Has an understanding and appreciation of individual differences

Desired skills and experience:

• High school degree or equivalent

• Research Skills to find claim number based on other claim information.

• Mechanical Skills to feed documents to scanner to keep it running at rated speed.

• Demonstrates a basic understanding of the claims process and lines of business.


Physical Demands & Work environment:

• Ability to use a personal computer and other standard office equipment.

• Ability to routinely lift up to 25 pounds.

• Ability to perform duties while standing/sitting for extended periods of time.

• Ability to perform work tasks in a loud/noisy work environment.

• Ability to repeatedly twist and reach while sorting documents into multiple bins
