The Program Coordinator provides operational support and oversight of all program details for faculty, staff, and students of the Edmondson Heim Education Fellows Program. They serve as the main point of contact for the program.Essential Functions and ResponsibilitiesOversight of the Fellows Application Process:Ensure the Edmondson Heim Education Fellows Program application and selection process is followed, including Google application form and data capture.Retain annual records of application and award information in Google Drive for a period of five (5) years.Review applications in a timely manner, follow the Edmondson Heim Education Fellows Program Application and Selection Process, and make award recommendations.Annually establish or reaffirm written eligibility requirements consistent with the gift agreement. Post criteria and make accessible to prospective and current Fellows, Faculty Fellows, President, Provost and Dean of the Faculty, and Office of Financial Aid.Distribution of Financial Awards:Coordinate with Institutional Advancement to determine total funding available each year to be allocated to the Program, and the number of Fellows to be funded each year. Manage annual budget.Notify all applicants of award or denial.Collaborate with Financial Aid to ensure awards are dispersed properly.Maintain Program Records:Maintain accurate program records including student data and progress: Applications, awards, denials, award amounts.Budget and spending for all aspects of the Program. Ensure students continue to meet Program qualifications.Track Student Fellows' participation in educational conferences, research, publishing, partner research, and other special opportunities.Track student Fellows' academic progress; communicate sequence required to be on track for declaring Education major. Update student data, as needed.Prepare Annual Report to Donors:Write and submit an Annual Report to the Institutional Advancement team by April 1 5th of each year.The report will include budget, Faculty, and Student Fellows engagement, photos participation and outcomes, research, and recommendations for Program change and growth.Program Development:In coordination with the Faculty Fellows, cultivate, develop, assess for learning outcomes, and implement internship opportunities to be available to Student Fellows.Track internship hours to ensure Student Fellow progress and completion of 75 hours per semester.Cultivate, develop, assess for learning outcomes, and implement research partnerships between Faculty and Student Fellows.Identify, promote and arrange attendance at appropriate educational conferences for Student Fellows, including budgeting and expense reimbursement.Develop programmatic opportunities for increasing Student Fellow classroom expertise in educational equity and inclusion, social emotional learning, literacy and digital pedagogies, languages and refugee education, and climate/STEM equity as specified in the donor gift agreement.Student Support:Provide support in application, reporting process.Actively organize, advertise, and ensure participation in belonging and recognition events such as Annual Recognition celebration, cohort meetings and other gatherings to build community and expertise.Program Assessment:Gather feedback from current and former Student Fellows. Gather feedback from Faculty Fellows.Utilize feedback to recommend positive changes in Annual Report. Gather success stories and photos.Recruitment and Retention of Faculty Fellows:Annually, collaborate with Academic Head of HSEL to identify and select Faculty Fellows.Work collaboratively with Faculty Fellows to ensure program goals are understood and being met.Serve as liaison between Student Fellows, Faculty Fellows, University offices and Donors to address any concerns or issues that may arise.Ensure, monitor, promote and facilitate active engagement between Faculty Fellows and Student Fellows.Support Faculty Fellows in their mentoring and equity coaching roles.Promote the Program, internally and externally:Recruit and retain Student Fellows in alignment with available funding.Promote the Program to eligible incoming or enrolled students at Hamline University.Work with the university Marketing team to:Annually develop and review a marketing plan for the Program.Ensure all program materials are available to appropriate audiences.Required Knowledge, Skills, Abilities and Key CompetenciesEffective staff management, budgeting, networking and organizational skills. Collaborative communication, use of social media and Google Suite tools. Understanding of student experience, higher education and mentoring. Multicultural competencies and experience in diversity integration.
