IT and Facilities Coordinator - On-site
Position Overview
The IT and Facilities Coordinator plays a pivotal role in ensuring smooth and efficient operations within the organization. This position involves entry-level IT experience, coordinating various administrative tasks and supporting the operations team to meet business goals. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to work under pressure and willing to travel.
Key Responsibilities
- Administrative Support: Provide comprehensive administrative support and IT support to branches, including setting up computers, troubleshooting general technical issues, inspect locations, coordinate maintenance requests, etc.
- IT Support: Ensure onsite equipment runs effectively and contact IT department for complex issues i.e., submitting tickets
- Project Coordination: Assist in planning, coordinating, and executing projects. Monitor project timelines, budgets, and deliverables to ensure they are met.
- Communication: Serve as a liaison between different departments, ensuring clear and effective communication. Prepare and distribute internal communications and updates.
- Process Improvement: Identify opportunities to streamline processes and improve operational efficiency.
- Data Management: Maintain accurate records and databases. Generate reports for COO.
- Inventory Management: Track and manage inventory levels. Ensure adequate supplies are available and reorder as necessary for all branches. Oversee the utilization of resources, including staff equipment, and materials. Ensure resources are used efficiently and effectively.
- Compliance: Ensure operations comply with company policies and procedures, as well as relevant regulations and standards.
Qualifications
- Education: Bachelor’s degree in Business Administration, Operations Management, or relevant experience.
- Experience: 2-3 years of experience in an operations or IT/Helpdesk. Construction knowledge is a plus.
- Skills:
- Strong organizational and multitasking abilities.
- Proven experience in IT.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Analytical mindset with problem-solving skills.
- Ability to work independently and as part of a team.
Working Conditions
- Environment: Office-based with occasional travel to different sites or external meetings.
- Hours: Full-time position, typically Monday to Friday, with occasional requirements for overtime during peak periods, travel time or project deadlines.
