Whether you call yourself a paralegal or a legal assistant, if you have experience supporting attorneys in preparing legal documents, managing client files, and keeping matters on track, we want to hear from you. Depending on your background, this position may focus on estate planning or probate work. You’ll work closely with our attorneys, legal team, and support staff to help manage client files, prepare legal documents, and guide clients through a thoughtful, organized process. We anticipate this position will be located in our Spanish Fort office. Responsibilities: Depending on your experience and assigned focus (Estate Planning or Probate), your responsibilities may include: • Draft wills, trusts, powers of attorney, probate filings, inventories, accountings, and other legal documents under the supervision of an attorney. • Communicate with clients to gather missing information, follow up on forms, and assist with document execution and case updates. • Maintain organized and accurate digital client files within the firm’s case management system. • Coordinate with attorneys and team members on document preparation, deadlines, and final appointment scheduling. • Proofread and review documents for accuracy, completeness, and clarity. • Track and record billable/non-billable time daily. • Assist with filing probate documents and communicating with court staff when necessary. • Work with beneficiaries, executors, and financial institutions to help administer estates or trusts. • Meet firm metrics for document turnaround time, accuracy, and efficiency. • Contribute to ongoing improvements in our systems, templates, and internal processes. Qualifications: • Prior experience in estate planning or probate law is required. Experience in both is a plus, but not required. • Strong written communication and document drafting skills. • High attention to detail, organization, and accuracy. • Ability to manage multiple deadlines and stay on top of case timelines. • Tech-savvy and comfortable using Gmail, Google Drive, Google Calendar, Microsoft Word, Excel, and cloud-based case management systems. • Friendly, professional communication style, especially when engaging with clients. • Ability to work independently and as part of a team. • Positive attitude and willingness to continually learn and grow in your role.
