Part-Time Administrative Assistant

Proper maintenance of a roofing system is mission critical. It demands regular attention and 24/7 response for emergencies. It requires experience with all roofing systems, from the delicate work of historic buildings to the latest metal and composite systems, to LEED Certified, solar, and green roofing projects. That’s why we created Greenwood Roof Services (GRS), a division of Greenwood Industries focused exclusively on maintenance and repairs.

With certified teams working across the Northeast, Greenwood Roof Services specializes in large commercial roof and building systems for companies, institutions, universities, state and local governments. We are headquartered in Milford, MA, and have maintenance teams operating from our branches throughout the region.
As a Part-Time Office Administrative Assistant at Greenwood Roof Services based out of our Milford, MA office, your primary responsibility will be assisting with accounts receivable collections while providing general administrative support to ensure smooth office operations. This dual-role is crucial for maintaining financial accuracy and enhancing overall office efficiency. The following duties and responsibilities for this role:
- Accounts Receivable Collections:
- Prepare and send invoices to clients and follow up on outstanding payments.
- Monitor accounts receivable aging reports and communicate with clients regarding overdue accounts.
- Reconcile accounts receivable discrepancies and resolve billing issues promptly.
- Administrative Support:
- Assist with daily administrative tasks
- Answer and direct phone calls, and handle correspondence with clients and vendors.
- Organize and maintain filing systems for both financial and administrative documents.
- Prepare and distribute reports and presentations as needed.
- Other tasks as assigned by Office Manager
- Office Duties:
- Maintain office supplies and inventory, ordering supplies as needed.
- Ensure the office environment is organized and presentable.
- Support team members with various projects and tasks as required.
- Data Entry and Record Keeping:
- Accurately enter financial and administrative data into relevant software systems.
- Maintain confidentiality of financial information and adhere to company policies.
In addition to the essential functions listed above, a successful candidate will possess all or some of the following technical and personal competencies:
- High school diploma or equivalent; an associate degree in finance, business administration, or a related field is a plus.
- Previous experience in accounts receivable or administrative roles is preferred.
- Proficient in MS Office Suite (Excel, Word, Outlook); experience with accounting software (e.g., QuickBooks, Sage) is a plus.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
