Job Summary:
The Administrative/ Inside Sales Representative will provide vital support to the operations of Advanced Compressed Air Solutions by managing office tasks, coordinating schedules, managing customer inquiries, and assisting with various administrative functions to ensure smooth business operations. The ideal candidate will have excellent organizational skills, a strong customer service orientation, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
Customer Support:
- Answer phone calls and respond to emails from clients regarding service inquiries, maintenance requests, and general information.
- Provide excellent customer service by scheduling and coordinating appointments for compressor services, including repairs, installations, and maintenance.
- Experience with data entry in a service or customer-focused environment.
- Familiarity with database management and data analysis tools.
- Experience with billing or invoicing systems.
Documentation & Reporting:
- Maintain organized records of service requests, work orders, and invoices.
- Prepare and process service documentation, including quotes, contracts, and reports.
- Manage billing and invoicing tasks, ensuring timely follow-up on outstanding payments.
Office Administration:
- Perform general office duties such as filing, photocopying, and organizing company documents.
- Assist with maintaining the company database and data entry tasks.
- Assist with the preparation of quotes, invoices, and purchase orders for parts and services.
- Assist with preparing communication materials such as customer newsletters, service reminders, and marketing materials.
Billing and Payments:
- Assist the finance department with the billing processes, ensuring accurate and timely invoices for completed services.
- Follow up with customers regarding outstanding invoices or payments.
Required Qualifications:
- High school diploma or equivalent; additional education or certifications in business administration or related fields preferred.
- Previous administrative experience, ideally in a service-based industry (experience in compressor services is a plus).
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable using service management software.
- SAP and Sales Force experience is a plus.
- Strong communication skills, both written and verbal.
- Excellent organizational skills and the ability to manage multiple tasks simultaneously.
- Detail-oriented with the ability to maintain accuracy in record-keeping and scheduling.
- Customer-focused with a professional and friendly attitude.
- Ability to work independently and as part of a team.
Working Conditions:
- Office-based position with regular business hours (typically 8:00 AM - 5:00 PM, Monday to Friday).
- Ability to sit and work at a computer for extended periods.
- Occasional overtime may be required based on business needs.
Additional Duties:
- Perform other related duties as assigned by the supervisor or management.
- Support departmental initiatives and special projects, as necessary.
- Provide assistance in areas outside the primary job scope during peak times or staff shortages.
- Adapt to evolving organizational needs and contribute to continuous improvement efforts.
