The Order Mgmt. CSR is accountable for effectively managing the purchase orders sent by the customer (s) to create/handle sales orders from them in the business ERP. Purchase orders are essentially received via EDI, Email / FAX etc. The list of activities extends with Order entry/adjustments, coordination with shipping facilities and carrier, coordinating with customer’s receiving team to ensure timely delivery of goods, creating credit and debit memos in event of short and / or over delivery.
Responsibilities
- Checking various sources of PO inflow (EDI queue, Fax / email inbox & USPS) periodically
- Entering orders in the business ERP within given TAT
- Endure product allocation on the orders.
- Ensuring delivery note on sales orders gets created in a timely fashion, to ensure products allocation on delivery notes.
- Coordinating with shipping facilities to get the product shipped to customer.
- Coordinating with carrier team to obtain periodic status of the load (pickup / in transit / delivery)
- Coordinating with demand control team to obtain availability dates of short / unavailable items on customer’s order.
- Coordinating with customers to obtain substitutes (replacement items) of unavailable items, and share availability dates.
- Order track and trace when shipped out of the shipping facility and share real time updates with the customer.
- Creating credit and debit memos in the event of under / over shipment on sales order
- Communicating with customers about various process updates such as –
- Analyzing order trend of customer and raise flag if variation experienced.
- Work as a team to process any ad hoc request promptly
- Deliver quality customer service by researching and responding to all internal & external stakeholders’ inquiries quickly, effectively and professionally.
- Ability to analyze and resolve problems before escalating to the next level.
Required Skills
- Resources from Order Management domain and worked on SAP ERP-
- Good understanding of upstream and downstream of OTC processes
- Good communication skills (written & spoken)
- Strong analytical mindset, problem solving and organization skills.
- Proficiency with system applications especially MS Office (outlook, excel, word, power point etc.)
Qualifications we seek in you
- 3 - 5 years’ experience in customer service and or supply chain.
- Good written and spoken communication skills.
- Possess ability to handle multiple tasks at a given time.
- Demonstrate ability to collaborate and partner with internal and external stake holders.
- Shift Timings: As per CST time zone.
Preferred Qualifications/ Skills
- Resources from Order management domain and worked on SAP ERP-
- Bachelor’s Degree (business, logistics or finance is preferred.
- Good understanding of upstream and downstream processes
- Good communication skills (written & spoken)
- Strong analytical mindset, problem solving and organization skills.
- Good Working knowledge of tools like SAP / S4 HANA, Power BI, SAP Analytics Cloud, Tableau, Blue Yonder, Salesforce and Ariba
- Proficiency with system applications especially MS Office (outlook, excel, word, power point etc.)
- Strong team player
