Position Summary

Provides clerical and logistical support (e.g. performs data entry, provides physical assistance, obtains parts and materials, performs minor maintenance and repairs, etc.) for the department. Demonstrates a commitment and supports a culture of diversity, equity and inclusion.


Position Responsibilities / Essential Job Functions

  • Generate and complete service work orders that accurately reflect the maintenance and repairs performed on the organization‘s fleet of vehicles and specialized equipment by departmental staff and outside/contracted repair facilities. This includes tracking and data entry of the following information:
  1. Evaluate workloads, schedule repairs and coordinate workflows using a CMMS system.
  2. Receive repair requests from customer scheduling by priority.
  3. Monitor and analyze maintenance plans to verify for efficiency. Adjust schedule depended on use and time of vehicle and equipment.
  4. Transport vehicles/equipment for offsite repairs.
  5. Make appropriate arrangements to have inoperable vehicle or equipment repaired or towed.
  • Obtain parts, materials, and supplies as needed for the department from the organization‘s central warehouse and/or various outside vendors.
  • Transport vehicles and equipment to various locations to obtain services (e.g. tires, alignment, body repairs, glass replacement, warranty repairs, etc.).
  • Perform data entry and tracking of various purchase orders.
  • Solicit pricing from vendors for parts and repairs.
  • Update and maintain vehicle information in databases.
  • Review and communicate status of service orders with customers. Follow up on parts and repair delays to keep communication current.
  • Prepare and maintain various functions and reports from several databases such as.
  • Cityworks
  • JDE accounts
  • GeoTab
  • Fleetistics
  • Track and maintain PMs, Inspections, and Emissions for all customers to keep current.
  • Manage Work Order backlog
  • Coordinate with outside vendors for offsite work.
  • Review and analyze telematics data and provide actionable corrective plans and recommendations to the Fleet Manager. Promotes and Practices safe shop and safety rules
  • Customer first focus
  • Champion the process of obtaining titles and registration for company vehicles, trailers, and heavy equipment
  • To build a report of asset utilization and location to generate metrics on overall vehicle asset use and provide methods for improving overall utilization, to support in the planning and co-ordination of data collection drives. (Future/FMIS system)
  • Provide physical assistance (e.g. bleeding brakes, removing body parts, pushing vehicles/equipment into the shop, holding various parts while repairs are made, etc.) as required by Automotive Technicians involved in the maintenance and repair of various types of vehicles and equipment.
  • Perform shop maintenance: clean shop, equipment, and tools (e.g. sweep and mop floors, empty trash containers, etc.).
  • Perform maintenance and repairs: under general supervision, perform various minor maintenance and repairs (e.g. jump-starts, change tires, replace light bulbs, routine maintenance, sharpen blades, etc.) to a variety of vehicles and specialized equipment.
  • Assist with the commissioning and decommissioning of vehicles and equipment that includes the installation and removal of specific equipment and accessories (e.g. decals, light bars, beacons, two-way radios, computer stands/desks, toolboxes, passive fuel management systems, etc.) under general supervision.
  • Operate a Prince William Water vehicle.
  • May be deemed essential at any time.
  • Perform other duties as assigned or required.

Essential Skills and Experience

Essential Competencies:

  • Knowledge of basic hand tools (e.g. screwdrivers, pliers, wrenches, ratchets, sockets, etc.) and power tools (pneumatic and electric); computer equipment and software applications related to the assignment, including Microsoft Office Suite; English usage, spelling, and grammar.
  • Ability to effectively use computers for various purposes (e.g. database/ work order system, e-mail, automotive reference, etc.) related to assignment; understand and follow oral and written instructions; keep simple records; communicate effectively, both orally and in writing; operate a Prince William Water vehicle observing legal and defensive driving practices; follow established policy and procedures in the performance of duties; work cooperatively with others.
Minimum Education and Work Experience:
  • High school diploma or GED.
  • Or a combination of education and experience as described above.
Required Licenses/Certifications and Other Special Requirements:
  • Must possess and maintain a valid driver‘s license consistent with Prince William Water policy requirements.
  • Required to respond to callbacks in emergencies.
Minimum Lead/Supervisory or Management Experience:
  • None.
