We are currently recruiting for a Document Controls Specialist.Job DescriptionThe Document Controls Specialist will support the construction of a Water Treatment Plant. This project broke ground in Fall of 2023 and ultimately will be supplying 135 million gallons of water a day to the Portland community by Fall of 2027. This is a contract position. Contract can last up to 4 years long. This position is onsite, in office. Work remote not an option.Receive, log, track, and distribute documents in both electronic and paper format for project record maintenance.Support the development and maintenance of periodic status reports to keep management informed of project progress.Assist in developing and adhering to project document control procedures including properly updating and maintaining record keeping databases.Recognize issues, advise and confer with leadership and project team on matters affecting projects records, documents and deliverable products.Liaise with project team to proactively address documentation issues to promote project success.Refine and improve services in response to changing technological environment and Client expectations.Serve as dedicated communications hub for project staff by maintaining records, assembly and distribution of documents using a variety of tools including Microsoft SharePoint, BlueBeam, CMiC, and others.Support Project Manager in the collection/distribution of data, communications, and coordination of team deliverables.Support project team in presentations/reports to clients.Work in a manner to ensure your personal safety and that of fellow employees by following company health and safety guidelines and policies.Duties may also include word processing; answering phones; purchasing equipment; filling in for other staff daily/weekly/monthly coordination of administrative tasks such as managing calendars, travel, expenses, meeting minutes, etc.; other project related activities as needed.QualificationsFour-year degree in business, engineering, construction management, or related field or equivalent combination of experience, skills, and training or equivalent combination of experience, skills, and training.Requires 2-4 years minimum document management, quality control, information technology or other similar experience.Proficient with Outlook, Adobe software, and PowerPoint, FTP sites, and document control software such as SharePoint.Excellent communication skills as well as strong attention to detail.Additional InformationGroup health & welfare benefits including options for medical, dental and vision40 hours of sick leave per year accrued after 90 days of employment401(k) PlanSalary Range $24.0- $26.44 per hourPlease note that all positions require pre-employment screening, including drug and background check, as a condition of employment.
