Summary
This position is located within the Ambulatory Care Operations Section (aka Group Practice Management Section) of the Office of the Chief of Staff under the direct supervision of the Group Practice Manager (GPM). The primary responsibility of this position includes the development and implementation of training programs for the Medical Support Assistant (MSA) positions, and additional non-MSA schedulers within the Sioux Falls VA Health Care System.
Duties
Major duties include, but are not limited to: Develops and implements training for new and existing administrative and clinical Sioux Falls VA Health Care System (SFAHCS) staff in Inpatient, Outpatient, 5 Community Based Outpatient Clinics (CBOCs). Provides instruction courses covering a wide variety of topics including well-established subject matter fields to train MSAs, health care providers, and MSA supervisors. Trains and orients administrative and clerical users in selected programs applicable to the inpatient or outpatient MSA or other scheduler role including but not limited to Veterans Health Information Systems and Technology Architecture (VISTA), VISTA Scheduling Enhancement (VSE), Computerized Patient Record System (CPRS), Consult Tracking Manager Plus (CTM+), Talent Management System (TMS) VEText, Insurance Capture Buffer (ICB), Virtual Care Manager (VCM), VISTA Imaging, Joint Legacy Viewer (JLV) and MS Teams. Uses a wide range of teaching methods or tools, depending on the students' learning requirements. Initiates educational programming which is responsive to changes in policy, procedure, and technology, while promoting the mission, vision, and values of the organization. Re-organizes /or modifies course material for students who encounter instructional issues involving communication or require remediation. Identifies specific programs, selects and implements alternative learning strategies, sets daily objectives, documents progress including discussions with employee, and sends formal reports to immediate supervisor for potential action when remediation is required. Conducts monthly scheduler audits for staff that schedule appointments for assigned audit groups and/or routine auditing functions on inpatient activity. Develops sampling techniques, measurements and reporting procedures related to scheduling process and/or other MSA business functions to identify problem areas or deficits in work processes, procedures, and information systems. Manages communication to supervisors and Automated Data Processing Application Coordinators (ADPACs) when newly-hired staff have completed orientation and mandatory training to begin the process for access to scheduling package applications. Collaborates with MSA supervisors to develop and maintain tools for schedulers to assist them in remaining compliant with MVAHCS regulations and scheduling requirements. Develops and improves training guidance and resources as it relates to VISTA, Computerized Patient Record System (CPRS), and other relevant computer applications. Develops competencies and manages training and competencies related to scheduling and other MSA duties. Develops and evaluates courses and all educational programs as assigned. Implements changes based upon evaluations of courses and programs.Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.
Work Schedule: Monday - Friday 7:30am - 4:00pm
