Job Description:
Under the supervision of Specialized Health and Social Services (SHSS) Texas Health Steps (THSteps) Program Supervisor, performs entry-level public health work and provides administrative support to THSteps Supervisor, SHSS Program Manager, and program staff. Participates in the coordination and organization of THSteps program processes and events. Educates current and prospective THSteps medical and dental providers, health agencies, individuals, and community groups about THSteps. Prepares, reviews, synthesizes, edits, and maintains program reports, budgets, and related documents utilizing standard office equipment and software. Collaborates with peers to advance regional and agency goals. Performs duties under moderate supervision, with limited latitude for the use of initiative and independent judgment. Completes other duties as assigned. Member of the Incident Command Structure (ICS) in response to public health emergencies. Must comply with HHS, DSHS, and Texas Department of Public Safety applicable policies/procedures/standards. Employee must be able to independently travel throughout the State of Texas and out-of-state to complete essential job functions. This position is office-based, Monday-Friday, 8:00 am - 5:00 pm. Essential Job Functions:
Provides general administrative support to program staff and regional leadership. Completes, organizes, provides, and/or retains required program reports and documents, including budget detail reports. Monitors inventory of program materials and requests additional stock as needed. Submits and retains appropriate documentation for purchase of supplies, materials, and registration fees. Fulfills regional switchboard duties and processes program and regional correspondence as assigned. (45%)

Communicates with medical and dental providers via telephone, fax, email, and/or mail. Updates appropriate spreadsheets and/or databases. Sorts and distributes updated provider reports to program staff. Collects and synthesizes individual monthly Provider Relations Activity Reports (PRARs) into single monthly report. Follows all applicable agency, state, and federal rules pertaining to protected health information and ongoing Frew litigation. (35%)

Assists program staff with preparation for community events. Attends various community coalition meetings and collects, monitors, and maintains records of event registrations, sign-in sheets, and meeting minutes as assigned. (15%)

Performs other duties as assigned. Actively participates and/or serves in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location. This position includes travel. The employee must possess a current valid Class C Texas driver's license. Safe operation of either a state owned vehicle or personal vehicle is required to conduct state business and an acceptable driving record must be maintained in accordance with DSHS Policy OS-, Fleet Operations and Management & Procedures and standards developed by the Texas Department of Public Safety. Compliance with DSHS Immunization Policy required: serologic evidence of immunity to, or documented evidence of vaccination against, measles, mumps, rubella, varicella (chickenpox), Tdap, annual vaccination against influenza (and hepatitis B if applicable). (5%) Knowledge Skills Abilities:
Knowledge of: related children's health programs and healthcare delivery systems; Health Insurance Portability and Accountability Act (HIPAA); agency policies and procedures; quality assurance and technical assistance policies and procedures; administrative principles and best practices.
