Job Description: Clerk III, Volunteer Coordinator
The Volunteer Coordinator is responsible for overseeing a program of volunteer services and assisting with the coordination of sponsorships and community support. Work involves working with the facility staff and Community Relations Director to determine volunteer needs; developing volunteer resources in the facility and community; recruitment, training, placement, coordinating/organizing, evaluation and recognition of volunteers; attending volunteer fairs for volunteer recruitment purposes. Can work in various environments including the office, campus and community. Willing to work flexible schedules including early mornings, evenings, and weekends when necessary. Understands and adheres to given deadlines. Volunteer Coordinator will be able to communicate clearly and concisely in verbal and written form. Has ability to multi-task and function under pressure. Has professional attributes such as organizational skills, ability to adapt to changing environments, follows necessary chain of command, able to adhere to confidentiality requirements. Maintains a professional appearance and is well poised. Willingness to accept other job duties as assigned. Works under the general supervision of the Community Relations Director with moderate latitude for the use of initiative and independent judgment.
Volunteer Coordinator will assist with the planning, coordination, and participation in a variety of fundraising events.
Essential Job Functions:
1. Assist the Community Relations Director in special projects or assignments as directed following appropriate guidelines in order to ensure the efficient operation of the department.
2. Recruit, screen, interview, train, place, coordinate/organize, supervise and evaluate qualified volunteers and applicants along with small and large groups following internal guidelines to ensure quality volunteer services at Abilene State Supported Living Center.
3. Assist with coordination of projects, programs and events of the Volunteer Services Council & Abilene State Supported Living Center following appropriate guidelines in order to manage volunteer programs, services, and the donations to Abilene State Supported Living Center.
5. Develops community corporate sponsorships for various campus needs as needed by the Community Relations Director.
6. Communicate orally and/or in writing with other Abilene State Supported Living Center departments to determine department needs.
7. Assist the Community Relations Director to plan, prepare, and participate in fundraising activities and solicitations following the additional guidelines established by HHSC and the Volunteer Services Council Board of Directors.
8. * Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
Knowledge Skills Abilities:
Ability to read, understand and follow complex oral and written instructions. Ability to plan, promote, and assist in volunteer programs; to plan a program of in-service training; to recruit, screen and assign volunteers to appropriate tasks or projects; to identify and explore resources conducive to volunteer programs; to coordinate the work of volunteers; and to explain policies and procedures effectively. Ability to adhere to given deadlines. Can independently work with minimal supervision or re-direction. Willing to work a flexible schedule including early mornings, evenings, and weekends. Able to exercise workplace flexibility and quickly transition from one job task to another if necessary. Able to focus on given job tasks in loud and often chaotic situations. Ability to adapt to work environments within the office, campus, and community. Ability to communicate clearly and concisely with attention to detail in verbal and written form. Able to move, and lift items such as tables, chairs, equipment that is used during special programs with minimal assistance. Have decision making skills with a prior knowledge of departmental expectations in mind. Is knowledgeable of community organizations and is able to keep abreast of changes. Knowledge of or ability to learn HHSC and Abilene State Supported Living Center’s policies and procedures. Ability to develop and maintain effective working relationships with co-workers, residents of AbSSLC, volunteers, parents, employees and the general public. Have basic financial planning skills to assist in annual department budget. Able to operate standard office equipment, including computers, copying machines, fax machines, calculators and telephones. Has experience with Windows Office XP, Power Point, WORD, MS Publisher, EXCEL, Sage and Quick Books. Able to manage records and has ability to stay well organized. Keeps necessary training certifications updated. Is timely and prompt.
