General Overview

Perform a variety of tasks and help facilitate an efficient mail delivery within the Cook County Department of Corrections. Clerks should be detail-oriented multi-taskers who are able to stand and carry packages for long periods of time. Time management skills and the ability to work independently as well as working with others; receives, sorts, inspects, and distributes mail and other materials; posts letters and packages. Operates specialized mail processing, security equipment, performs basic mathematical calculations and drives to the Post Office as well as other designated divisions/locations.

Key Responsibilities and Duties

Scan all packages for contraband and mail received from the Post Office upon entry in the building; all improper mail must be returned to sender.


Verify information of individuals in custody in the computer system to ensure the ID number and location are correct.


Log packages and money orders into computer system.


Deliver mail to the appropriate divisions.

Knowledge, Skills and Abilities


Knowledge of all applicable Cook County Sheriff and Cook County Department of Corrections Policies and Procedures, Rules, and Regulations as applicable to day-to-day operations.


Skill in the operation of standard office equipment, including but not limited to telephones, copiers, facsimile machines, computers, and computer software, including Microsoft Office Word, Excel, and Outlook.


Knowledge of specialized administrative procedures and regulations particular to area of assignment.


Knowledge of office management principles, with excellent organizational and time management skills; good attention to detail, with the ability to proof, transcribe and cross reference data.


Good knowledge of basic language skills punctuation and grammar and their application to business forms, letters, and records; ability to generate information, reports, letters, and memoranda accurately and proficiently, as required.


Ability to identify and maintain files and records, according to various methods.


Good communication skills, ability to gather information from others and make inquiries; ability to convey information and explain or describe basic office policy and procedures to others in person or by telephone. 


Ability to exercise good judgment in determining when problems require the assistance of senior personnel.


Ability to perform well under pressure and deadlines; ability to accurately relate, perform and relieve other clerical staff in a limited capacity, as required.


Thorough working knowledge of or ability to grasp and utilize the policies, protocols, systems, procedures and technical vernacular of the agency, department, and County, as they are applicable to assigned duties and responsibilities quickly and effectively.


Ability to make sound decisions and carry out the tasks affecting one’s own work and the work of others in a changing work environment; ability to work cooperatively with administrative, supervisory, technical, and professional personnel.


Good attention to multifarious details with the ability to proof, verify and edit complex data, transcribe and cross reference data from computer systems, software and documents.


Ability to answer questions of a more technical nature, refers difficult matters to the supervisor, exercise tact and courtesy.


Ability to walk substantial distances throughout the course of assigned shift.

Minimum Qualifications


Possession of a High School Diploma or General Education Development (G.E.D.) test certificate.


Ability to operate county vehicle and have a valid Illinois Driver's License with no moving violations or DUI in the past 3yrs.


Ability to bend and lift 40lbs on a consistent basis.


Proficiency in the use Microsoft Word, Excel, and Outlook.


Ability to walk substantial distances throughout the course of the assigned shift.


Required to be capable of working any shift assigned, including days, afternoons, or midnights; must be capable of working Holidays and weekends; must be capable of working mandatory overtime, as required.

Preferred Qualifications

One year (1yr) mailroom experience.

Ability to complete inventory in a timely manner.

Possession of a valid Commercial Driver's License (CDL) B.
