The Program Coordinator I P9 – Quality Assurance plays a crucial role in ensuring the Veterinary Medical Teaching Hospital adheres to and operates in compliance with all relevant laws, regulations, and internal policies through focus on the compliance program. Collaborates with various departments to identify potential compliance risks and develops appropriate solutions to mitigate them. Monitors and implements quality assurance and compliance in the hospital. Promotes a culture of compliance, integrity, and responsible practices.

Other Requirements and Factors: May require working alternate shifts, holidays, weekends, and on-call duty. Persons in this position are considered essential when the University declares an emergency, campus closure, class cancellations, etc., and are therefore required to report to work and remain on duty unless/until relieved by the direct supervisor.

Required Education and Experience:

  • Bachelor's degree in applicable field or equivalent combination of education and experience.
  • Two years of related experience in compliance programs, compliance reviews, and/or related activities.

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications
  • Strong interpersonal and organizational skills
  • Ability to multitask and work cooperatively with others.
  • Strong verbal and written communication skills
  • Analytical abilities and aptitude in problem-solving
  • Ability to work on matters of high sensitivity and confidentiality.

Preferred Qualifications:

  • Knowledge of state licensure requirements for veterinarians and federal (DEA) controlled substance prescriptions guidelines.
  • Holds a Professional Compliance Certification.

Responsibilities:

  • Quality assurance: Maintains and analyzes client and referring veterinarian satisfaction survey data, including sharing reports with faculty and staff making recommendations for utilization of data collected for improvements. Coordinates the VMTH Patient Safety Committee and reporting system, including leading process improvement initiatives. Conducts reviews of hospital policies and procedures to ensure they are current and meet hospital strategic plans and goals. Assesses and recommends program guidelines, procedures, policies, rules, and regulations.
  • Compliance: Performs compliance review activities designed to assist hospital leadership in attaining organizational goals and objectives. Ensures that individuals working within the VMTH are appropriately licensed with the state and DEA and hold and maintain necessary certifications. Ensures locum veterinarians are compliant with VMTH regulations for hospital privileges. Confirms and cross references PLIT coverage for veterinarians working in the VMTH. Liaises with departments to maintain radiation safety training, including initial and renewal of training. Liaises with administration to ensure appropriate access to the electronic medical record system for faculty, staff, students, and hospital visitors. Ensures non-VMTH personnel (technician trainees, students, etc.) in the hospital are compliant with hospital and university rules and regulations. Oversees other areas of compliance, such as risk management and adherence to university policy and procedures. Serves as the point of contact for compliance-related issues.
  • Reporting: Maintains program records and databases regarding licensure, certification, required training, etc. to be used for tracking and reporting. Prepares reports as needed or requested for compliance and quality assurance.
  • Training: Provides training or workshops on compliance topics or quality assurance programs. Performs other duties as assigned.
