Job Summary:

As an integral member of the team, this role will be responsible for overseeing various office tasks at the mining site. The position involves creating and managing work orders and invoices, tracking inventory and equipment repairs, and coordinating Jahna DDS meetings. In addition, the role may extend support to other ER Jahna Sand Mines and the Contract Dredging Division. You will collaborate with mine managers to streamline office operations and offer guidance to new office staff.

Core Responsibilities:
  • Emphasize E.R. Jahna's Standards of Safety, People, Quality, Delivery, and Cost.
  • Manage office space and assist managers with daily operations.
  • Generate, print, and finalize work orders.
  • Maintain records of equipment services and schedule repairs.
  • Input new part numbers into the JD Edwards system.
  • Manage purchase orders and handle invoices efficiently.
  • Distribute parts, labor, mileage, and rental hours to work orders.
  • Organize work orders for accurate billing.
  • Support invoice payments and ensure prompt approval by managers.
  • Handle incoming calls and provide timely assistance to customers and vendors.
  • Organize and file office documents.
  • Keep the office space tidy and well-organized.
  • Assist walk-in applicants with applications and paperwork.
  • Collaborate with haulers and customers effectively.
  • Complete forms to report mechanical issues to supervisors.
  • Generate monthly reports for managers.
  • Coordinate the dispatch of mobile equipment mechanics as per Plant Managers' requests.
Qualifications & Requirements:
  • High School Diploma required; Associate's or Bachelor's degree preferred.
  • Proficient in Microsoft applications.
  • Prior experience with Purchase Orders, Invoicing, and Work Orders.
  • Background in aggregate and/or construction industry is advantageous.
  • Experience with JD Edwards and/or SAP is a plus.
  • Effective communication skills in English, including radio communication.
  • Ability to thrive in a fast-paced environment.
  • Hold a valid Florida Driver's License with minimal points.
  • Experience in Accounting or Accounts Payable is beneficial.

Work Environment:

This role predominantly operates in an office setting, utilizing standard equipment such as computers, phones, and filing systems. The job involves prolonged periods of sitting.

The position is stationed at an active Mine site, requiring adherence to ERJ Safety Procedures.

Under the supervision of the Mine Manager.

Benefits, Compensation, and Schedule:

Compensation: Rate commensurate with experience, with additional pay differentials for night and weekend shifts.

Schedule: Monday to Friday, 7am-4pm, subject to modifications as necessary. Breaks scheduled based on operational needs.
