Henry Ford College presents an opportunity for a Division Assistant in Campus Safety.
This position provides administrative support to the Campus Safety department. The primary responsibility of this position is to directly triage and manage the day-to-day operations of the office.
This includes welcoming and receiving employees, students, guests, vendors and contractors requesting assistance, problem-solving customer issues and concerns, properly directing individuals to appropriate personnel, and providing the highest level of customer service while maintaining confidentiality.
The position is responsible for all phases of employee ID and access onboarding, to include key issuance.Other responsibilities include leveraging technology to compile statistical campus safety data, ensuring prompt routing of incoming calls service, and providing support for the staff of the department.
This may include purchase orders, requisitions, record keeping, payroll, and scheduling.Core Competencies and Qualifications
An associate degree or combination of equivalent education and experience may be considered.
Proficiency in Microsoft Office.
Demonstrated customer service experience.
Demonstrated understanding of campus operations or with a similarly complex organization.
Demonstrated ability to be a team player.
Demonstrated willingness to train and learn new systems.
Strong written and oral communication skills.
Ability to communicate with the public in an effective, pleasant, and professional manner always.

Experience with computerized software management systems is a plus.

Maintain confidentiality in all aspects of this role.
Provide high-level customer service to both internal and external stakeholders.
Organize, maintain, and update critical office documentation related to Campus Safety blanket purchase orders, emergency vendor and alarm contact information, and event set-up schematics.
Process purchase requisitions, vouchers, check requests, and invoices.Create departmental purchase requisitions with a high level of detail and supporting documentation (as provided by management), maintaining an accurate application of GL codes.
Serve as initial point of contact for employee onboarding of Photo ID and keys.Maintain key issuance records.
Issue employee ID badges and access levels.
Review of weekly event schedule requirements.
Maintain knowledge of HFC policies as applicable to security related property Management requirements.
Organize, maintain campus safety records.
Attend meetings and maintain record of meeting notes. Maintain annual Campus Safety calendar.
Maintain vendor purchase and service records.
Routinely audit key control system to ensure keys control standards are maintained. Route incoming calls for service.
Order and maintain inventory of office supplies.
Oversee work of student assistants.
Other duties as assigned.
