The Advancement Associate is responsible for presenting a welcoming environment to visitors to the Advancement Office, assisting Advancement office staff as well as the Major Gifts staff as assigned by the Director of Institutional Advancement.

Duties and Responsibilities

  • Provide direct support to the Director of Institutional Advancement. Prioritize and respond confidently to routine communications, maintain calendar, schedule appointments, and meetings as needed.
  • Input data and maintain portfolio for the Director of Institutional Advancement in Raiser's Edge.
  • First contact for Advancement calls. Professionally screen calls, routing requests and questions to appropriate personnel.
  • Professionally greet visitors, provide professional cordiality, and notify the Advancement staff member of a visitor.
  • Maintain Advancement Office and Director of Institutional Advancement calendars.
  • Maintain calendars and agendas for meetings that include, HOS and Advancement, Advancement Office internal meetings, CFOO and Advancement, Advancement and Board Chair meetings.
  • Order and prepare appropriate materials and gifts for major gift meetings, stewardship and major donor events including donor research, profiles, handouts, and other materials as needed and maintain RSVPs for said events.
  • Assist Director of Donor Relations and Stewardship with endowment reporting.
  • Collaborate with the Advancement Services team and stay current on best practices.
  • Process purchase orders for Major Gift Office events and expenses.
  • Provide support for Advancement Office functions, including alumni, auction, and parent events as directed by the Director of Advancement.
  • Responsible for keeping the main office area professional-looking and tidy, requesting School Dude services when necessary.
  • On a regular basis, order office and kitchen supplies. In collaboration with the Director of Development, notify members of the Advancement Staff when orders are being processed, in compliance with budgetary requirements.
  • Sort and distribute mail daily. Pick up mail from the Mailroom when needed.
  • The Advancement Associate will be responsible for other duties as assigned by the Director of Institutional Advancement
    • Bachelor's degree required.
    • 2-3 years of related work experience, preferably in an independent school setting.
    • Raiser's Edge experience preferred.
    • Working knowledge of Microsoft Office (Word, Excel, PowerPoint) and Google Suite platforms.
    • Detail-oriented, with strong organizational, analytical, and planning skills.
    • Excellent ability to prioritize and manage multiple tasks and a variety of demands.
    • Initiative and independence in carrying out responsibilities.
    • Commitment to maintain confidentiality and a high degree of accuracy in donor records.
    • Desire to collaborate with others and ability to work as a team member.
    • Ability to work effectively with people of diverse backgrounds and promote a positive working environment.
    • Ability to communicate effectively and relate well to parents, faculty, staff, and others while maintaining appropriate confidentiality.
    • Possesses problem solving capabilities with a high degree of integrity, ethics, and dedication to the mission of the school. Physical Demands : Must be able to sit, stand, walk, bend, lift, and for the majority of the work day. May be required to lift up to 25 pounds.
