The Department Coordinator in the Department of Romance Studies works with and supports the Academic Administrator, Directors of Language Programs, Chair, and more than 20 faculty members. This person will perform a variety of tasks to support the daily operations of the department, including general office management, academic support, event logistics, communications, accessibility, and publicity.

This is a part-time position at 17.5 hours a week and is benefits-eligible.

Job Functions

  • The department coordinator will design and produce both print and electronic versions of posters to publicize events and to advertise classes during pre-enrollment; post events on the website and on Brandeis calendars; edit and update the Romance Studies website and make sure listservs are up-to-date. Schedule rooms, make reservations, and arrange for refreshments, media equipment, and advertising for meetings and department sponsored events. Estimated time: 30%
  • The department coordinator will provide academic support which may include: organizing and sending out materials for promotion review and for faculty searches; assembling, copying, and scanning course materials; course planning and scheduling; preparing and proofreading pre-enrollment and major/minor brochures for each of our three areas of study; and class and faculty information for posting; scheduling meetings and classrooms; fixing or requesting assistance for malfunctioning computers, copiers/scanners/FAX machines, classroom media equipment, and heating/cooling systems; alerting students, faculty, and staff to cancelled classes and other schedule changes. Estimated time: 25%
  • Make documents and media accessible for course materials and department website. Estimated time: 20%
  • Provide general office support, which may include: serving as a visible and welcoming presence, responding to requests and inquiries made in-person, by email, or by telephone from students, parents, faculty, staff, and visitors; distributing mail; maintaining department files and archives, processing university forms; composing routine correspondence and memos; editing letters and other materials for faculty members whose native language is not English. Take inventories and order supplies for administrative and faculty offices, resource rooms, and for classrooms; gather and organize information useful to our department's academic goals from internet sources and by conducting email/telephone surveys. Estimated time: 15%
  • Assist with hiring and training student workers, and with monitoring their work. This occasionally may include acting as an intermediary between faculty and student workers. Estimated time: 5%
  • Perform other assignments as needed. Estimated time: 5%

Requirements:

  • HS Diploma or Equivalent required; BA/BS strongly preferred
  • 1-3 years of relevant work experience required
  • Excellent organizational and people skills required, a strong attention to detail and effective written and verbal communication skills;
  • In-depth knowledge of Microsoft Word/Excel, Adobe Acrobat/Photoshop, and web-editing skills; ability to help maintain and assist others in the use of copiers/scanners, classroom equipment, PC's, Macs ; design/creativity skills or experience with promotion (events, classes, activities, etc.) would be helpful.
  • Ability to work both independently, under direction and as part of a team; and to move quickly and easily from one task to another.
  • Other important assets include a good sense of humor and adaptability as well as an excitement and appreciation for language-learning and its importance in today's world.
