OVERVIEW/BASIC FUNCTION:

Responsible to receive and document all goods and materials ordered by the hotel through procurement database. The Receiving Clerk will refuse and document items not on the original P.O., damaged or close to expired goods. Manage all incoming and outgoing guests and internal packages. Support the overall functions at the loading dock; work closely with delivery vendors, manage the traffic flow at the dock to the storeroom, weighing and random screenings aligned with our internal controls. Offer support to Finance AP functions for smooth payment terms.

RESPONSIBILITIES:

· Maintain complete knowledge of and comply with all departmental policies, service procedures and standards.

· Ensure that standards are maintained at a superior level on a daily basis.

· Maintain complete knowledge of correct maintenance and use of equipment. Use equipment only as intended.

· Anticipate guests' needs, respond promptly and acknowledge all guests, however busy and whatever time of day.

· Maintain positive guest relations at all times.

· Resolve guest complaints, ensuring guest satisfaction, problem solve and offer support as needed

· Monitor and maintain cleanliness, sanitation and organization of assigned work areas.

· Maintain complete knowledge of property management system and manual procedures, with focus on Birchstreet functions

· Set up and organize work station with designated supplies, forms and resource materials; report shortages to supervisors.

· Assist Storeroom and Finance with daily and month end processes.

· Organize and review Purchase Orders.

· Check and review deliveries to adhere to the Rosewood agreements and standards

· Maintain and Clear Dock Area.

· Assist with managing the work flow between vendors, invoices, packing slips, product movement between outlets and storerooms.

· Record all deliveries received in Birchstreet

· Log: Beverage, Food, and Supply Items.

· Handle Discrepancies/Return Goods.

· Complete Discrepancy Forms for the following: Goods received without invoices, Goods returned without a credit

· note, Notice of error correction.

· Write Credit Memo when refusing an item at time of delivery.

· Follow Partial Shipment Procedure, if applicable.

· Receive: Items, Beverages, Food Products, Dry Goods, Chemicals, and Major Equipment.

· Distribute products form the storeroom, in conjunction with a Birchstreet Requisitions

· Update Price Comparison Sheet, assist with open and partial received POs, keeping Birchstreet updated and current

· Become certified to operate moving vehicles ( carts, company vehicles ) operating forklift and designated machinery associated with the role of a Receiver.

· All other duties as required.

QUALIFICATIONS:

Experience: Prior experience in a purchasing department within the hospitality field. Operating an electric or manual pallet jack. Able to perform job with safety as a priority.

Education: High school diploma.

General Skills: Must be able to perform job functions with attention to detail, speed and accuracy; prioritize, organize and follow-up; be a clear thinker, remaining calm and resolving problems using good judgment; follow directions thoroughly; understand a guest's service needs; work cohesively with co-workers as part of a team; work with minimal supervision; maintain confidentiality of guest information and pertinent hotel data. Able to deliver luxury service to all internal and external guests.

Technical Skills: Basic math skills; ability to operate computer systems; excellent record keeping skills.

Language: Required to speak, read and write English, with fluency in other languages preferred.

Physical Requirements: Must be able to exert physical effort in transporting up to 50 pounds manual lifting, endure various physical movements throughout the work areas, reach up and down, remain stationary at times throughout work periods, and satisfactorily communicate with guests and co-workers to their understanding.

Licenses & Certifications: Forklift certification, current driver's license
