Summary of Duties:

The Assistant Director, Business Services performs the critical role of leading and managing College of Medicine's (COM) business services, operations and compliance responsibilities while serving as a strategic advisor reporting to the Senior Director of Finance and Operations.

Using knowledge and application of accepted procedures and standards, The Assistant Director, Business Services performs financial and administrative tasks related to managing the daily and long-term financial and/or administrative operations of the COM academic, research, and teaching departments. The Assistant Director manages a team that is responsible for processing of all College purchase requisitions in compliance with all regulations, lifecycle management of contracts, invoicing, inventory control, and the management of all vendors and related items. The Assistant Director serves as liaison to the centralized WSU Accounts Payable/Purchasing team, expedites high priority purchases, collaborates with College staff to identify opportunities for cost reduction, purchase consolidation, and process improvements, works closely with faculty and staff in departments to implement programs, provide training sessions, and ensure that faculty spending is in compliance with rules and regulations.

This integral position to the College of Medicine's Business Office works closely with the deans, associate deans, assistant deans, department chairs and staff. The role serves as lead administrator in the absence of the Senior Director of Administration and Operations (SDAO).

Required Qualifications:

Positions require a Bachelor's degree in a relevant field and four (4) years of progressively responsible relevant experience, which has included at least one (1) year of managerial experience. A Master's degree in a related field may be substituted for up to one (1) year of the required experience. Education and experience can be tailored to fit the specific organizational entity/directorial assignment. Positions may require applicable licensure and/or certification.

Additional Requirements:

  • Bachelor's degree in Business, Finance, Public Administration, or other related field.
  • Four (4) years of budget/finance experience in an academic, healthcare, research or other related setting.
  • Experience in accounting practices and procedures, cash handling, budgeting, and financial analysis.
  • Demonstrated knowledge of complex budget/accounting processes.
  • Demonstrated experience reviewing and managing various types of contracts; such as affiliation agreements, personal services, purchased services, equipment leases, real estate, software, memorandums, financial services.
  • Demonstrated experience in various financial activities including purchasing, travel, personnel, inventory, travel, payables, cost analysis and/or budget planning.
  • Demonstrated ability to communicate effectively orally and in writing.
  • Demonstrated knowledge and proficiency with Microsoft systems such as Word, Excel and Outlook. Ability to use project management systems such as Smartsheets, Asana or other platforms.
  • Demonstrated ability to prioritize in a challenging environment while meeting required deadlines.

Preferred Qualifications:

  • Experience with financial coordination between multiple institutions.
  • Demonstrated experience with grants and contract budget development and administration.
  • Experience using WSU's mainframe computer applications, including but not limited to Workday, Smartsheet, Asana, PowerBI, TouchNet .
  • Knowledge of Washington Administrative Codes and WSU Business Policies and Procedures.
