We are seeking a dedicated and personable Bilingual Receptionist / Mail Clerk to join our dynamic team.
This entry-level position is crucial to maintaining the smooth operation of our office and ensuring that our clients receive top-notch service from the moment they contact us.

________________________________________Primary Objective:
- Provide exceptional customer service to all visitors and callers.
- Greet clients as they enter the office.
- Assist staff and the firm with administrative tasks.
- Process and sort all mail and faxed correspondences.
Knowledge, Skills, Abilities & Behaviors:
- Professional communication skills, both verbal and written, with a service-oriented approach.
- Accurate data entry with attention to detail.
- Ability to follow workflows and step-by-step tasks.
- Proficiency with multi-line telephone systems.
- Adaptability to changing information, policies, and procedures.
- Basic knowledge of Outlook, Word, and Excel.
- Commitment to fostering an atmosphere of respect and inclusiveness.
- High standards for work efficiency, completeness, and accuracy.
- Maintain a neat, organized, and safe personal and front office work area.
- Fluency in English and Spanish is highly preferred.
Responsibilities:
- Answer the phone promptly within the first two rings.
- Provide excellent customer service to all callers and visitors.
- Enter all messages into document management software accurately.
- Confirm and update contact information for clients.
- Notify IT if office network or software issues arise.
- Keep the office, kitchen, and storage areas organized, clean, and presentable.
- Assist other staff with daily tasks.
- Open, date-stamp, sort, and scan all incoming mail.
- Schedule appointments for supporting staff.
Qualifications:
- High school diploma or equivalent required.
- Experience in answering phones and taking messages preferred.
- Fluency in Spanish (speak, read, write) is highly preferred.
