The business office at Millbrook School supports the school's program, students and employees, by providing accurate and timely financial services. The Controller is a critical member of the finance team, overseeing all financial and accounting activities. The Controller reports directly to the CFO/COO. This is a full time, 40 hour per week, exempt position, requiring occasional weekends.

RESPONSIBILITIES

  • Directly supervises the accounts payable and accounts receivable positions.
  • Responsible for all aspects of the general ledger and sub ledgers.
  • Assists the CFO in developing and maintaining the school's budget.
  • Prepares timely and accurate financial statements. Ensures adherence to Generally Accepted Accounting Principles (GAAP) and complies with all Financial Accounting Standard Board (FASB) standards.
  • Safeguards assets and assures accurate and timely recording of all transactions by implementing disciplines of internal audits, controls and checks across all departments.
  • Maintains and enhances accounting policies and procedures across all programs.
  • Oversees, directly or indirectly, all functions of student debit system.
  • Manages the accuracy and productivity of day-to-day activities of accounts payable, cash disbursements, invoicing/billing, customer credits, perpetual inventory integrity, fixed asset records, general accounting, and fund accounting.
  • Prepares timely and accurate monthly financial records for CFO and department heads.
  • Provides financial analysis tools as needed to evaluate projects, programs, or capital expenditures.
  • Coordinates the annual audit including reviewing and/or preparing schedules for auditors. Coordinates periodic "soft" closes in advance of the official year-end close.
  • Responsible for federal and state tax compliance at the School. Assists in preparation of tax returns.
  • Undertakes various ad hoc financial analyses for the CFO.
  • Works directly with the director of advancement on reconciling monthly pledge activity and ensures accuracy of fund reports to donors.
  • Reconciles the school's checking, endowment, and credit card merchant accounts, and maintains commercial banking and credit relationships.
  • Monitors the School's investment portfolio and endowment funds by analyzing performance, earnings and compliance with the School's spending policy
  • Prepares all periodic surveys and compliance reports for various school industry organizations as well as other internal and external information requests for various data.
  • Oversees the annual audit of the School' retirement plan, including reviewing and/or preparing schedules for auditors, as needed. Attends all meetings of the Audit Committee.

  • Bachelor's degree in accounting, business administration, or economics from an accredited college.
Five years of accounting experience. A CPA is not necessary, but would be favorable. Non-profit experience, especially in an educational setting, strongly preferred. Three years of supervisory experience. Proficient in computerized accounting and endowment utilization systems. Experience with Blackbaud, FE NXT, Raisers Edge NXT, and/or Paymerang not required, but would be favorable. Strong interpersonal and communication skills. Self-motivated and self directed. Ability to work closely with senior management team. Ability to read analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Must be able to calculate figures and amounts for all bookkeeping, payroll, budgets, statistical analysis and probability statements. Strong computer skills required; Microsoft Office, Outlook, relational database, etc. Controller must use the utmost discretion in all presentations/ correspondence and communication for staff, Board of Trustees, and Head of School.
