Kona Salt Farm is seeking a dedicated and professional Event Coordinator to join our team. This role is valued in ensuring the seamless planning, organization, and execution of events at our unique venue. The ideal candidate will be a highly organized, detail-oriented individual with a passion for creating memorable experiences and strong interpersonal skills.

  • Assist the Event Director in the end-to-end coordination and management of events, including dinners, corporate events, weddings, and private parties.

Handle administrative tasks such as preparing contracts, processing invoices, managing insurance requirements, coordinating with vendors, and scheduling events.

Conduct venue showings and present the venue's offerings to potential clients, effectively communicating the unique attributes of Kona Salt Farm.

Follow up on venue inquiries and work closely with the Event Director to convert inquiries into booked events.

Oversee the execution of approximately two events per week, ensuring all aspects run smoothly and align with client expectations and our standards.

Coordinate with various vendors and to ensure all event-related tasks are completed, from setup to breakdown, and address any issues that may arise during events.

Maintain clear and effective communication with clients, vendors, and team members to ensure a cohesive and successful event experience.

Contribute to the continuous improvement of event planning and execution processes.

  • Acquire current state liquor server card for special events bar requirements to use as necessary.

Qualifications:

  • Experience in event planning and coordination, preferably in a similar setting.
  • Experience in customer service related industry with strong focus on quality of service.

Strong organizational and multitasking skills, with the ability to manage multiple events simultaneously.

Excellent communication and interpersonal skills, with a customer-focused approach.

Ability to work flexibly, including evenings and weekends, to accommodate event schedules.

Proficiency in office software, including word processing, spreadsheets, and event management tools.

  • Team player, able to adapt to changing environments
  • Able to lift at least 30lbs with mobility in a fast paced environment
  • Must have own vehicle w/ Hawai'i state drivers' license
