This position is located in the Travel and Transportation Section of the Department of Operational Support.

The Team Assistant will report directly to the Supervisor of the Passport and Visa Team under the overall supervision of the Chief of Travel Unit.

The Department of Operational Support (DOS) provides operational support to UN Secretariat entities globally, including advisory, operational and transactional support services and, where needed, exercises delegated authority on behalf of clients.

DOS supports the entire UN Secretariat, consisting of almost 100 entities located around the globe.

The Facilities and Commercial Activities Service (FCAS) operates the Headquarters complex, striving to provide effective and efficient planning, management, maintenance and operation for all existing physical facilities and assets at the UN Headquarters, New York.

FCAS also supports office and conference facilities, property management, travel and transportation services, archives and records management, mail and pouch operations, catering, giftshop and the United Nations Postal Administration.

The Travel and Transportation Section provides travel and transportation services at UN Headquarters (travel, shipments management, UN travel documents (e-UNLP & UN Certificates), visas and host country services, local transportation, materials management and UNHQ garage operations.

Responsibilities

Within delegated authority the Team Assistant will be responsible for the following duties:

  • Performs a wide range of office support and administrative functions.
  • Responds or drafts responses to routine correspondence and other communications; uses standard Microsoft processing package (Word, PowerPoint, Excel) to produce a wide variety of documents and reports.
  • Monitors processes and schedules related to the unit's outputs; assists in the verification of receipt and accuracy of travel document application forms to ensure compliance with relevant guidelines and requirements.
  • Generates a variety of standard statistical and other reports, using various databases.
  • Screens phone calls and visitors; responds to moderately complex information requests and inquiries (e.g. answers requests requiring file search, etc.), and as necessary, refers inquiries to appropriate personnel for handling.
  • Assists in the maintenance of websites by scanning, converting and posting a variety of documents onto the site.
  • Assists in the preparation of presentation materials using appropriate technology/software.
  • Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit.
  • Performs data entry and extraction functions.
  • Reviews, records, distributes and/or processes mail and other documents; follows-up on impending actions.
  • Updates and maintains large distribution lists; monitors, prepares and distributes various materials, reports, where possible using electronic formats; coordinates shipment arrangements, courier services, etc.
  • Maintains files (both paper and electronic) and databases for work unit.
  • Assists in providing software and office equipment support.
  • Performs other duties as assigned.

A minimum of three (3) years of progressively responsible professional experience in general office support or related area is required.

The minimum years of relevant experience is reduced to 1 for candidates who possess a first level university degree. Experience working on travel documents or in visa processing services is desirable. Experience in handling receipt and shipment of large quantities of sensitive documents is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required. Knowledge of another official United Nations language is an advantage.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
