Summary

The Alumni Association of the University of Michigan is seeking an Alumni Career & Education Assistant to be a part of our team. This position will provide support to our Alumni Career and Alumni Education teams by assisting in the curation of content for our Alumni Education Gateway and providing support for career and education events, webinars, and other related resources for Michigan alumni. Additionally, this position will also provide administrative support for the team.

Responsibilities*

Alumni Education Support:
  • Communicate with alumni regarding questions related to resources and opportunities offered by the Alumni Education program and direct them to additional campus resources as needed
  • Oversee and conduct daily operations to maintain the Alumni Education Gateway including content identification and curation, editorial and proofreading oversight, submission review and approval
  • Execute schedules of content gathering including identifying relevant content for distribution both internally and from campus partners
  • Work with the marketing and communications team to ensure all promotions are ready to deploy in a timely manner
  • Communicate with University partners (internal and external) to ensure awareness of the editorial calendar, topics, requests for content and gathering submissions, reporting on the success of campaigns
Alumni Career Support:
  • Communicate with employers, alumni, or students regarding questions related to career resources offered by the Alumni Career program and direct them to additional campus resources as needed
  • Coordinate/support career events including communication with speakers by sharing slide templates; securing invoices for paid engagements and submitting check requests to the business office for payment
  • Submit event information to marketing for website edits
  • Support CareerLeader account creation done by the Alumni Relations team as needed and manage account inventory and discrepancies with alumni purchases
  • Create and execute virtual events in Zoom including pull pre- and post-event reports; provide live event support as needed on career webinar series; and execute post-event communication as needed
General Team Support:
  • Provide back-end administrative support to online courses as needed
  • Translate and record team activities into project management software as required and update process documentation as needed
  • Support data management and reporting of Key Performance Indicators (KPI)
  • Provide administrative support to the director of alumni career and education including expense reconciliation, calendar management, reporting, etc.
General Responsibilities:
  • Provide organizational leadership by demonstrating the Alumni Association's core values: All In, Serving Heart and Solution Seeker, and helping other staff members demonstrate those values.
  • Value and embrace different identities and diversity of thought recognizing that everyone has unique and different experiences that contribute to the best solution seeking and success for the Association.
  • Work with Association staff members to gain a clear and consistent understanding of the details of the strategic plan and feel equal ownership of every piece of it, including pieces for which there is no direct responsibility.
  • Be inclusive and collaborative with every other member of the staff and every other team. Operate as a critical contributing member of the staff to complete objectives in many different areas in order to move the whole organization toward the strategic plan.
  • Support University Relations efforts by demonstrating the Alumni Association's value to campus units/partners (i.e., schools/colleges, campuses).
  • Continually build digital skill sets in order to implement into work.
  • Staff and participate in team meetings, Alumni Association events that may be during evenings or weekends, and staff retreats including offsite, overnight staff retreats at Camp Michigania.
  • Provide staff support to the Alumni Association's Board of Directors, its committees, and other volunteers as needed.
  • Coordinate special projects as assigned or required.
  • Participate in Alumni Association and other University committees as required.
  • Share knowledge through internal communication.
  • Support the Alumni Association's vision of creating a place of belonging for all alumni.
  • Remain current with respect to technology and the University's educational resources.
Supervision Received:

Direct supervision is received from the Alumni Career Program Manager. Functional supervision will be provided by the Alumni Education Manager.

Supervision Exercised:

May coordinate the work of some temporary staff/students.

Required Qualifications*
  • One + years of professional or relevant work experience in program development within higher education, student services, or other related fields is required or equivalent combination of education and experience.
  • Demonstrated ability to work in team environments.
  • Proficient in Microsoft Office/Suite (Excel, PowerPoint, etc.), Google Suite and Box file sharing service (or similar).
  • An interest in or experience with engagement and communications including curation.
  • Demonstrated commitment to high quality customer service and high levels of productivity.
  • Excellent interpersonal, organizational and communications, including ability to bring ideas to the team.
  • Exemplary ability to follow deadlines.
Desired Qualifications*
  • Salesforce or similar CRM familiarity is beneficial.
  • Familiarity Google Analytics and social media, management of dashboards.
  • Familiar with WordPress or other publishing platforms.
  • Experience with analytics and reporting metrics.
  • Experience/skills working with digital asset management tools and photo editing are a plus.
  • Experience with Canvas or other learning management platforms
Work Locations

This position is hybrid and requires working two days a week in the office, which includes Tuesdays.

Additional Information

AAUM welcomes applications from people of all abilities. This position requires the occasional moving of 10 lbs or less.

This position requires some evening and weekend work.
