Job Description
Coordinate Admissions, Academic Retention Efforts, and SAP process


• Provide expertise in the admissions process including, but not limited to, acting as departmental power user for the application and communication systems.


• Oversee the Office of Graduate and Extended Learning Office's retention activities, relating back to college initiatives and the broader work of the university.


• Conduct academic interventions with high-risk students, including students experiencing academic and personal difficulty.


• Work with faculty advisors to secure the development of an academic plan for students to improve their standing when placed on academic warning or probation status or when requested.


• Manages, responds and seeks resolution to referrals and academic updates through the campus early alert system with the department; promotes usage of, and ensures faculty have tools/training needed to utilize the early alert system.


• Assure policies and procedures related to student academic behavior, retention, and other policy matters related to the student experience are interpreted, followed and documented.


• Prepare documentation and facilitate the decision-making process for late withdrawal requests, academic petitions, and credit overload requests.


• Communicate with unregistered students each semester.


• Serve as department liaison to the university student service areas, i.e. Academic Support Center, Accessibility Resources, Counseling Center, etc.


• Manage the graduate academic appeal process.


• Work With the Academic Success Center to monitor and communicate with all graduate students placed on Academic Warning, Academic Suspension, and Academic Probation and inform the student of the Graduate Academic Policies and Procedures.

Institutional Review Board Administration


• Serve as campus administrator for the Institutional Review Board.


• Enforce proper IRB procedures for federal compliance.


• Serve as a knowledge expert relating federal and institutional policy regulating research and human subjects.


• Monitor accuracy of Graduate Studies and IRB webpages and submit needed changes and/or corrections to webmaster.


• Administer accuracy and contents of communications related to IRB submissions.

Graduate Retention Analysis


• Provide support to the Director of Graduate Studies and the Dean of Graduate Studies as necessary, especially as it relates to policies relating to retention and student success.


• Work with the Director of Graduate Studies in projects related to data analysis related to graduate programs, advisory committees, etc.


• Answer queries from university faculty and resolve problems encountered with graduate assistantships campus distribution, and graduation requirements.


• Manages Graduate Studies Office graduation procedures individually and in collaboration with other offices across the University.


• In collaboration with the Graduate Studies team, develop long-range strategic plans and support effective graduate student retention and completion strategies.


• Attend and participate regularly in meeting with the Dean, the Director, the Student Support Specialist and Graduate Council.

Supervision of graduate students


• The GSRC has decision making authority related to hiring, promoting, compensating, supervising and dismissal of student workers, including graduate assistants.


• This position is responsible for assigning special projects to graduate assistants and evaluating the outcomes of the work for accuracy.
Required Qualifications

• Bachelor's degree plus at least two years of professional experience working with college-level populations or adult learners OR Master's degree plus 1 year of professional experience. An equivalent combination of education and experience may substitute for the degree requirement.


• Demonstrated ability to understand, interpret and report data.


• Knowledge of university-level human relations and student affairs


• Strong oral and written communication skills.


• Customer service skills sufficient to provide prompt, courteous and accurate support to students in person, on the phone, and through e-mail.


• Ability to integrate current literature of graduate education landscape with the institutional priorities to recommend continuing education and development programs for current students.


• Demonstrated ability to work with students of diverse backgrounds
Preferred Qualifications

• Master's degree in student affairs, higher education, business administration or related field


• Demonstrated knowledge of data entry, analysis and reporting.


• Knowledge of career trends in areas related to this position.


• Managerial skills in the areas of training and overseeing student staff assigned to the position.


• Understanding of FERPA and the Minnesota Data Privacy Act.


• Experience with program reporting.
