Position Overview:
We are seeking an enthusiastic and detail-oriented Event Assistant to join our team. The successful candidate will support the Event Coordinator and assist in the planning and execution of various events.

This role requires excellent organizational skills, a high level of customer service, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

  • Event Planning and Coordination:
  • Assist in the planning and execution of events from concept to completion.
  • Support with venue research, vendor coordination, and logistics management.
  • Prepare event materials such as name tags, programs, and promotional items.
  • Manage event setup, registration, and teardown processes.
  • Administrative Support:
  • Maintain detailed event records and manage databases.
  • Handle correspondence and communications with clients, vendors, and team members.
  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • On-Site Event Support:
  • Provide on-site support during events, ensuring everything runs smoothly.
  • Address and resolve any issues or emergencies that arise during the event.
  • Assist with guest relations and ensure a positive attendee experience.
  • Marketing and Promotion:
  • Assist in the creation and distribution of event marketing materials.
  • Manage social media accounts and promote events through various channels.
  • Support post-event evaluation and feedback collection.

Qualifications:

  • High school diploma or equivalent required.
  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work independently and as part of a team.
  • Creative problem-solving skills and attention to detail.
  • Flexibility to work evenings, weekends, and holidays as required.
