Summary

This position is located in the Health Information Management Section of Health Administration Service at VA Walla Walla Health Care System - Jonathan M. Wainwright Memorial VA Medical Center in Walla Walla, WA. The File Clerk (OA) will serve as a File Clerk/Scanning Specialist.



Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION***

The File Clerk (OA) is responsible for controlling all information arriving and leaving the medical center from the Health Information Management Section, as well as supporting the Release of Information, Privacy Information and HIPPA Act. In addition, incumbent performs clerical tasks of the file room and transfer desk, which would include but are not limited to use of computerized records tracking associated with the retention, maintenance, disposition and control of medical records. Major duties and responsibilities include but not limited to:

  • Receiving, indexing, scanning and assigning appropriate nomenclature to health and administrative information, as assigned, for incorporation into the correct patient's record in CPRS
  • Reviewing and researching numerous and voluminous medical reports from non-VA health care facilities making a determination as to which documents are to be scanned based on the medical records policy
  • Assisting in training clinic and domiciliary clerk personnel as well as Community Based Outpatient Clinic's (CBOC's) staff in scanning key documents created on a concurrent basis
  • Maintaining a daily productivity log of scanning and indexing activities
  • Reviewing medical record documents from outside facilities and to ensure that they are complete and authenticated
  • Utilizing knowledge of medical terminology to recognize the subject matter of each document
  • Receiving and directing callers and visitors and receiving and/or giving out forms, assists visitors and/or callers with completions of forms or documents
  • Providing authorized medical and administrative staff with medical and administrative records (hard copy and electronic)
  • Performing all tasks associated with the proper storage, movement and maintenance of medical records
  • Performing filing of paper health and administrative documents in accordance with approved procedure for filing or scanning and indexing
  • Processing requests for records for appointments, transfer of care, quality assurance, etc., in a timely manner
  • Using computerized medical record functions and printing the veteran's electronic record and properly filing it when transferring records or retiring to the National Archives
  • Performing routing office functions including reviewing incoming mail, preparing correspondence
  • and reports and operating office equipment and software
  • Performing other related duties as assigned
Work Schedule: Monday to Friday; 08:00 a.m. to 04:30 p.m.
