About the Opportunity

JOB SUMMARY:

Event Management at Northeastern University is currently seeking a talented individual to fill the role of Associate Director of Event Operations. This position reports to the Director of Operations for Event Management and will primarily be responsible for the operations of three major event venues, Blackman Auditorium (960 capacity), Fenway Center (270 capacity), and Afterhours (276 capacity). The Associate Director will oversee daily venue operations, including event planning and advising, staffing, technology, safety and security, maintenance, and event execution. The successful candidate will also be responsible for recruiting, hiring, training, and supervising student and part-time non-student staff for the Event Management department.

RESPONSIBILITIES INCLUDE:
  • Ensuring that events run in a safe, secure, and professional manner in accordance with the policies and procedures of the university and Event Management department.
  • Communicating with clients in advance of events to understand client needs and ensure clients are aware of venue capabilities and relevant policies and procedures.
  • Acting as the lead and senior Event Manager to provide on-site supervision for high-profile/VIP and large-scale events, including presidential, advancement, orientation, and admissions events.
  • Purchasing and maintaining equipment and supplies for ongoing venue operations.
  • Directly supervising two full-time employees (Senior Technical Operations and Events Managers) and part-time Production Coordinator
  • Directly supervising student co-op supporting the Event Management team
  • Recruiting, hiring, training, and supervising student and non-student venue operations staff (Event Assistants, House Managers, and Technicians)
  • Working with colleagues across Event Management to develop and promote staff training programs for staff development and advancement.
  • Creating and providing quotes for clients and assist with the invoice process
  • Maintaining the department's staff scheduling software (SubItUp) and event data collection form for major venues
  • Updating and maintain scheduling data in EMS (scheduling management software)

    MINIMUM QUALIFICATIONS:
    • 4+ years full-time experience in event management, operations/facilities management, or related field
    • Demonstrated understanding of philosophy, role, and purpose of event and venue management
    • Effective communication and interpersonal skills and ability to work well with diverse populations
    • Strong organizational skills and ability to manage multiple competing priorities
    • Familiarity with audiovisual and lighting technologies used in live production environments
    • Ability to work flexible hours, including early mornings, evenings, weekends, and occasional holidays
