Our client, one of the largest banks in the US with wealth management, investment banking, and international business, is seeking an Operations Support V

Location: Jersey City, NJ
Position Type: Contract

Job Responsibilities:
  • Individual will provide essential floor support for the broader office as needed
  • Assist in the planning of internal and local marketing events
  • Manage sensitive and highly confidential information
  • Schedule internal and external meetings; adjust and prioritize last-minute changes including logistics such as conference rooms, events, and catering
  • Screen incoming calls and determine the level of priority while using caution in dispensing information
  • Respond and follow up on managers behalf, delegate tasks to manager's leadership team where applicable
  • Manage day-to-day schedule; ensure that the Senior Executive is well prepared for meetings and maintains list of follow up actions working closely with the Business Manager
  • Manage Share Point and distribution lists
  • Arrange and maintain extensive travel plans and itineraries for both international and domestic travel
  • Plan and lead events as needed
  • Produce draft communications and presentations
  • Reconcile and complete expense reports
  • Maintain a poised attitude under pressure with the flexibility to adapt to changing priorities in a deadline driven environment

Required Skills and Qualifications:
  • The ideal candidate will have proven experience supporting a senior leader with a large organization, tracking deliverables, priorities and essential follow up on behalf of the senior leader
  • Ability to provide exceptional travel planning, calendar management, organizational skills, and a strong presence in all communication types
  • Highly resilient and adaptable to constantly changing business priorities
  • Ability to interact with various executive level clients and internal stakeholders across all lines of businesses
  • Superior interpersonal and communication skills are required
  • Creative presentation skills, experience with managing projects and fluency in Microsoft Office are required

  • Self-starter, ability to work in a fast-paced environment
  • Willing and able to learn the business and fully understand how and why tasks satisfy business needs
  • Fluent in MS Outlook, Word, Excel, and PowerPoint
  • Basic Project Management skills and demonstrated experience
  • Effective interpersonal skills
  • Superior oral and written communication skills
  • Advanced ability to organize
  • At least 5 years of administrative experience ideally supporting C- Suite Executives or Managing Director level
