Billing and Administrative Manager

Grumman|Butkus (GBA) is a nationally recognized professional consulting firm specializing in sustainable design engineering and energy efficiency consulting. We provide mechanical and electrical design services to commercial, educational, governmental, healthcare, laboratory, hotel and industrial clients, with an expertise in energy intensive facilities. GBA currently employs over 30 people between our Wauwatosa and Madison Wisconsin offices. GBA is looking to add a new Billing and Administrative Manager to their team. This person should act in a professional manner, possess good verbal and written communication skills, and possess a solid accounting background. This role is very independent in nature so this individual will need to be self-motivated, financially minded and possess strong organizational skills. In addition, this person should employ problem-solving skills and analysis with the ability to work independently. Due to the importance of this role, the individual must act in a confidential manner and be very dependable. Deltek Vision or Vantagepoint experience is a plus.

GBA is flexible in whether this position is full-time or part-time. For the candidate with the right experience, we offer a flexible work schedule.

Job Responsibilities
  • Generate revenue reports, create monthly invoices and record receipts
  • Process invoices and payments for vendor and subcontractor vouchers
  • Complete project setup and billing for all projects
  • Keep the principals and project managers up to date on financial progress of current projects as needed
  • Act as assistant secretary for the board of directors, recording minutes and maintaining corporate documents
  • Coordinate healthcare and dental plan with insurance advisor and answer employee questions
  • Manage new employee enrollment into benefit plans; educate new employees on office procedures
  • Review timecards and expense reports bimonthly
  • Run and distribute management reports for the president
  • Coordinate bank information with the president
  • Manage office initiatives, leases of copiers and phone system and supply purchases
  • Communicate effectively, provide clear, concise information, actively listen, and asks appropriate questions.
  • Meet commitments defined by others, paying attention to detail, and maintaining confidentiality
  • Use analytical skills to collect, organize, review, assimilate and interpret information
Qualifications:
  • Bachelors degree in Business preferred or 3 – 5 years accounting experience
  • Strong computer skills with knowledge of Microsoft Excel, Word and Outlook
  • Deltek Vision or Vantagepoint experience preferred
  • Strong written and verbal communication skills
  • Detail-oriented, self-motivated problem solver
