The Assistant Project Manager is responsible for supporting project administration and operations in accordance with corporate policies and procedures. This position works directly with the Project Manager and Project Superintendent to insure that company goals and objectives are met through team participation with the field personnel. At all times the Assistant Project Manager will be working together with the project team to produce results and excel at assigned tasks.


RESPONSIBILITIES:


1.     Assist with reports on the status of the project as accurately as possible with emphasis on the anticipated cost to complete.

2.     Ensure that all required administrative and field paperwork assigned is completed accurately and on time. 

3.     Work with the Project Manager and Superintendent to ensure that the project is completed in conformance with the signed contract, scope of work, subcontracts, agreements, plans, specifications and changes in a diligent and professional manner.

4.     Attend all administrative weekly meetings as scheduled in the main office.

5.     Conform all work to corporate policies and procedures.

6.     Assist with creating and implementing effective strategies to organize and lead project teams.

7.     Assist the Project Manager to provide complete timely and thorough buy-out procedures with an emphasis on completing all buy-outs under budget.

8.     With assistance from Project Administrator and Accounting, ensure that all subcontractors have proper licenses, insurance requirements, up to date Workman’s Comp insurance and financial capabilities to complete their work. (Once a list of proposed subcontractors/suppliers has been completed this information will be compiled by the Accounting department and reviewed by the project manager.)

9.     With assistance from Project Administrator/Accounting, obtain pre-qualification information on  subcontractors/suppliers to eliminate the usage of disreputable companies on RBD jobsites.

10. Display attributes that enhance the image of RBD with clients, owners, subcontractors, and others.

11. Prepare and submit timely, accurate, and solution oriented RFI’s in conjuction with Project Manager and Project Superintendent. 

12. Create and Maintain RFI tracking log. Update on a weekly basis at minimum.

13. Coordinate the submittal process by checking all the items for compliance with the project specifications and drawings and submitting to owern/consultants. Track all submittals with updated submittal log weekly. Work with Project Manager to develop appropriate process based on project needs to efficiently complete these tasks.

14. Create and update a detailed submittal log insuring that all submittals are received and reviewed by all parties involved with the project.

15. Assist with monitoring and updating the schedule as needed and in conjuction with the Project Superintendent and Project Manager.

16. Assist with correspondence required with owner, architect, engineer, subcontractor and suppliers for proper documentation of the project.

17. Work in conjuction with the Project Manager and Project Superintendent assure the quality of the overall project by utilizing a continuous punch list program.

18. Assist with preparation and owner review/approval of owner billings when assigned. Work with accounting to prepare billing documents. Project Admin/Accounting to submit and follow up on payment.

19. Maintain a relationship with the Project Manager, Project Superintendent and other team members to contribute to a productive project team.

20. Attend weekly project meetings and project subcontractor meetings. Assist Project Manager with preparation and distribution of meeting agendas and meeting minutes. 

21. Assist the Project Manager with pricing and processing of change order proposals and contract change orders in accordance with project/contract requirements and insure that the Project Superintendent has all information for implementation.

22. Responsible for receiving and assembling all operations and maintenance manuals upon job completion. 

23. Assist the Project Manager and the Project Superintendent to ensure that all safety standards and practices of the company are being strictly implemented and that a job specific safety and health standards are posted on the jobsite.

24. Attend and participate in preconstruction and post construction meetings.

25. Assist with management of warranty items to ensure timely completion.

26. Assist the Project Manager and Project Superintendent to accurately document schedule delays to support associated delay claims to owner including schedule updates. Understand and apply owner contract requirements for documenting delays.

Provide timely, accurate, and productive support to Project Managers and Project Superintendents allowing for them to leverage their time more efficiently in completing the project within Budget, on time and without any downstream liabilities.


Maintain and promote high morale among the team members to achieve project goals.


Administer contract documents, subcontracts and purchase orders in accordance with company policy.


Maximize efficiency of time and effort by utilizing company technology resources and innovative management solutions.


Minimize potential for future liabilities.


Perform all duties and responsibilities in the best interest of company.


Through continued growth and performance begin to take on projects as a stand alone Project Manager.
