Job Description


Position: Payroll Specialist

Reports to: Payroll Manager

Designation: Non-Exempt, Full Time

Hours: Monday-Friday, 8:00 a.m. – 4:30 p.m.


Responsibilities


  • Responsible for the accurate and timely processing of multi-union, multi-state craft and administrative payroll.
  • Work with managers in the field and office to coordinate timely and accurate payments to employees.
  • Complete payroll filings, including union benefits, payroll taxes, unemployment taxes, voluntary and involuntary deductions, accurately and on time.
  • Process unemployment claims, verifications of employment, EEO reporting, workers compensation (OCIP/CCIP), prevailing wage, and certified payrolls, accurately and on time.
  • Respond to time related questions from employees and managers.
  • Properly collect, retain, and maintain employee information,
  • Process onboarding and compliance activities such as drug screens and E-Verify.
  • Assist with year-end payroll compliance and operational reports.
  • Prepare documents for union, workers compensation, and accounting audits.
  • Assist with managing benefit plans, enrollment, and compliance.
  • Make recommendations for system and/or process changes as applicable.
  • Maintains confidential records and information appropriately.
  • Perform various other duties as assigned.

  • Ability to complete work with a high degree of accuracy and thoroughness.
  • Proficient in software required for payroll related tasks.
  • Proficient in Microsoft Office and Excel.
  • Performance of the job duties requires the physical ability to be able to read, produce, and understand payroll reporting and to communicate via telephone and computer. Position will require employee to work from a desk for extended periods of time with heavy computer input and usage. Required Job Qualifications


  • Associate’s or bachelor’s degree in business or related preferred, or equivalent of education and experience to meet the essential functions of the position.
  • One (1) plus years of multi-state payroll processing experience.
  • Familiarity with standard payroll policies, government regulations, and tax requirements.
  • Ability to manage multiple project assignments in a deadline-driven environment with focused attention to detail.
  • Strong interpersonal skills with all levels of management, employees, and agencies.
  • Ability to communicate with employees, management, and agencies, in person, on the phone, and by written communication in a clear, straightforward, and professional manner.
  • Strong attention to detail with the ability to work independently.
  • Proficient MS Office (Excel focused) and computer skills.


Preferred Job Qualifications

  • Payroll experience with unions.
  • Experience working with payroll software including, Sage 300 CRE, Aatrix, HH2, and LCP Tracker.
  • A human resource generalist background including benefits and paid leave experience.
