The Museum Operations Manager is responsible for the day-to-day oversight and operations of the museum and museum departments. The Museum Operations Manager reports to the Museum Director in support of museum operations. The Museum Operations Manager also manages the volunteers.

Primary Duties:

The Museum Operations Manager ensures smooth museum operations. Responsible for the interpretation, preservation, maintenance, and sustainability of the museum. Manages part-time staff in support of museum operations and the Museum Director. Manages the volunteers to ensure support for all museum activities. Works closely with the Museum Director to support the President and Board of Directors to develop and conduct museum activities in support of the organizational strategic plan.

Institutional and Operational Management:

  • Follows all federal and state nonprofit rules and regulations and the Museum’s governing documents
  • Is an experienced, effective manager and team builder with a high level of integrity, transparent leadership
  • Balances multiple projects and operating issues concurrently
  • Has some knowledge in a variety of contract negotiations and administration
  • Cultivates the value of diversity and respect
  • Uses membership/collections experience in databases, financial reporting programs and store POS programs
  • Works collaboratively and cooperatively with Museum Director, Board members, donors, staff, partners, and volunteers
  • Has knowledge of office procedures, equipment and software (or able to learn in a timely manner)
  • Has skill in and uses current communication, marketing, and social media practices
  • Is familiar with National Standards and Best Practices for Museums, and the Secretary of the Interior’s Standards for Historic Preservation.
  • Participates in museum/history organizations (i.e. AAM, AASLH, and NCPH nationally, and MAA and CAMA locally)
  • Understands and uses adaptive, short and long-range organizational planning
  • Advises on developing programs, design budgets, and evaluate program performance utilizing data and visitor feedback

Staff and Volunteer Management:

  • Is experienced at hiring, training, and guiding a staff
  • Is experienced in recruiting/training, assigning to tasks, and retaining volunteers for customer services in guest experiences, and thanking volunteers regularly.
  • Is responsible for the administration of personnel policies and benefit programs
  • Is experienced at and will train others on customer service and cultivating a guest experience
  • Cultivates a positive working environment, strong staff morale, and a culture of excellence, openness and teamwork among staff, volunteers, and the Board of Directors
  • Delegates responsibility to committee chairs with a requirement from them of monthly updates
  • Implements ongoing professional development for staff and volunteers
  • Aids and assists staff members in achieving organizational goals and objectives

Board Relations:

  • Cooperatively works with and reports to the CCM Board President and Board of Directors, and Museum Director
  • Monthly provides the Board all information necessary to its proper function, including current status of all committees and their progress
  • Has ability to assist in the selection, evaluation, orientation, and training of new Board members
  • Coordinates regular Board training as outlined in the legal requirements of nonprofit governance regarding fiduciary responsibility under the Duty of Care, Duty of Loyalty, and Duty of Obedience
  • Collaborates with the Museum Director and Board of Directors in defining long-term goals and implements plans for growth
  • Works with Museum Director, Board and staff to achieve museum goals and objectives
  • At times takes on other duties as defined by the Board of Directors

Programs, Exhibits and Events:

  • Report on committees, including list of committees and members
  • Assists with program development, ensuring excellence of the CCM programs, exhibits, and events
  • Maintains calendar of events and all meetings
  • Evaluates the effectiveness of programs, events, and projects

Financial & Fundraising Management:

  • Works with the Museum Director, Treasurer, and staff to develop annual and multi-year budgets, approve expenditures, and control expenses
  • Assists the Museum Director in developing and maintaining key volunteer and stakeholder relationships

Required Skills:

  • Well-developed written and oral communication
  • Demonstrated experience using effective interpersonal skills, listening, diplomacy and tact to build strong relationships with supporters, volunteers, and staff
  • Experienced, effective manager and team builder
  • Ability to interact with a diverse audience
  • Solid time management and ability to meet deadlines with accuracy
  • Exercise solid independent judgment, discretion and decision-making
  • Ability to maintain confidentiality and professional work standards and ethics
  • Ability to work effectively in results-oriented organization with either specific instruction or little supervision.
  • Ability to perform work in an office setting as well as outdoor locations where there may be infrequent exposure to disagreeable elements typical of Arizona’s desert.

Qualifications:

  • Passion for and an understanding of the pre-history, history, and culture of the Cave Creek/Carefree Foothills area
  • Computer literacy with programs and software including, but not limited to Microsoft Office Suite, QuickBooks, and CRM software platforms
  • Must be able to occasionally move up to 20 pounds, traverse uneven ground up to 3 miles, and work outdoors in exposed conditions
  • This position must possess and maintain a current, valid driver’s license

Compensation & Benefits:

  • Salary starting at $40,000 to $45,000/year

The Museum Operations Manager is a full time, exempt, salaried position, accountable to the Board of Directors, and based at CCM’s Cave Creek, Arizona office. The Museum Director supervises the Museum Operations Manager. Some night and weekend work is required. Travel throughout the Valley is needed at times for projects and events.
