We are looking to add an experienced Chief of Staff / Executive Assistant to our Irving, TX headquarters.


The Chief of Staff is a pivotal role that focuses on continuously improving the way the executive organization is run. This position involves overseeing various administrative functions within our organization, including executive assistance to the CEO, supervision of C-suite executive assistants, in-office and offsite event planning, catering management, and overseeing shipping and receiving operations. The ideal candidate will possess strong leadership skills, impeccable organizational abilities, and a proven track record of effectively managing diverse tasks and personnel.


As the Chief of Staff, you will:


  • Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and handling correspondence.
  • Act as a liaison between the CEO and internal/external stakeholders, ensuring seamless communication and coordination.
  • Anticipate needs and proactively address issues to facilitate the CEO's productivity and effectiveness.
  • Lead and manage a team of executive assistants, providing guidance, mentorship, and support to ensure optimal performance.
  • Allocate resources efficiently to meet the needs of senior executives and prioritize tasks based on urgency and importance.
  • Conduct regular performance evaluations, set goals, and provide feedback to enhance team performance and individual development.
  • Plan, coordinate, and execute various in-office events, including meetings, workshops, and celebrations.
  • Collaborate with internal stakeholders to determine event objectives, themes, and logistics.
  • Manage event budgets, vendor contracts, and logistical arrangements to ensure successful outcomes.
  • Organize and oversee offsite meetings, retreats, and conferences for executive leadership.
  • Coordinate venue selection, transportation, accommodation, and catering services.
  • Develop agendas, schedules, and materials to support the objectives of offsite events.
  • Manage catering services for in-office events, meetings, and special occasions.
  • Liaise with catering vendors to plan menus, arrange deliveries, and ensure quality and timeliness.
  • Monitor catering expenses and adhere to budgetary guidelines.
  • Oversee shipping and receiving operations, including mail, packages, and supplies.
  • Coordinate with logistics providers and couriers to ensure timely delivery and receipt of goods.
  • Maintain accurate records, track shipments, and resolve any issues or discrepancies.
  • Other duties as assigned.


As the Chief of Staff, your background should include:


  • 10 plus years of experience in business/medical field
  • Bachelor’s degree in business or relevant field.
  • At least 5 years of progressive management experience in a strategic role
  • Demonstrated ability to proactively identify and assess risks and opportunities
  • Strong analytical skills and ability to make data-driven decisions.
  • Excellent communication skills and ability to collaborate with internal teams and external partners.
  • Ability to work in a fast paced, dynamic environment.
