Japanese conglomerate trading and investment company Silicon Vally office seeks Japanese Bilingual Senior Assistant provides secretarial and administrative support in both Japanese and English to enhance the operational efficiency of the Senior Vice President (SVP), well as to support the organization's business development initiatives.


Non-exempt position.

9-5, M-F, hybrid

$75K-100K plus bonus and fabulous health benefits package


Key Accountabilities:

< Business Development Support>

• Support the organization’s business development activities and initiatives led by the SVP and managers at the branch. This includes tasks including but not limited to research and intelligence activities to support the ongoing projects.


• Support fostering a collaborative environment and build strong relationships with both internal and external business partners.


• Support developing presentation materials and backing-up information & data.


• Support collaboration efforts with business groups as a member of the corporate business development support team on various projects.


• Procure new resources to enhance operational efficiency by improving productivity


• Provides administrative support to the SVP, Head of the Silicon Valley branch office


• Maintains the business schedule for the SVP, including responding to inbound calls or e-mails, relieving related SVP’s administrative duties, making travel and entertainment arrangements.


• Coordinates with other managers in charge of accepting VIP guests to the area to make necessary arrangements including hotel, transportation, and meals/entertainment on behalf of SVP.


• Arranges meetings and social events hosted by the SVP for the organization’s business developments and engagements, promoting interactive communications and creating an environment of collaboration.


• Collects information and creates presentations upon request by the SVP or other managers at the office. Supports preparing and distributing reports and communications initiated by the branch under the SVP’s leadership.


• Administer expense reporting, invoicing, disbursements, debit notes, or other related accounting processes.


• Provides personal administrative support to the SVP upon request as needed.


< Company House Operation >

• Support operations of the company house resided by the SVP.

• Arrange business dinners, receptions and social events at the company house, including coordinating and attending catering vendors on site, and supporting throughout the events as needed.

• Communicate with the landlord and service providers for house maintenance needs.

• Maintain and track inventory of assets, equipment and supplies at the house.

• Process vendor payments and administer expenses and assets reporting for accounting purposes.


< Support to Silicon Valley Branch General Affairs >

• Collaborate with the Corporate Division members and other administrative assistants at the branch for day-to-day office operation.


Key Qualifications - REQUIRED:

• High command of both spoken and written English and Japanese (fluent bilingual).

• Proficient in the use of Microsoft Excel, Word, PowerPoint, and internal systems such as SAP and GBS.

• Proactive and detail-oriented approach to ensure accuracy in reports, communications, and administrative processes.

• Ability to work independently while also being a collaborative team player.

• Strong interpersonal and communication skills, as well as organizational and multitasking abilities.

• At least one to four years of previous experience working in an assistant role.
