Our client a group company of a major Japanese manufacturing company seeks a versatile Operations Assistant (Temp to Perm).
The temp period will be around 2-6 months.
PRIMARY DUTIES AND RESPONSIBILITIES
Position Responsibilities:
- Assistance with various reports & forms - updating data from multiple applications using Microsoft Office Suite, Adobe PDF, SAP & CRM projects.
- Update monthly company organization chart, prepare, and track progress on employee continuing education requests and the employee referral program, work with external and internal recruiters as needed.
- Management of the departments shared drive - data filing, organization, document scanning & archiving.
- Maintaining and completing customer supplier setup forms – point person for all inquiries, initial completion of all data required for manager’s signature, email to customer and shared drive filing.
- Assistance with HR tasks - new hire onboarding, ensure all employee trainings are completed, communicate benefits announcements and preparation of new employee info packet & maintenance of employee separation forms.
- Assistance with quarterly company compliance/risk reports, prepare annual performance reviews and comp plans, check PTO and overtime work, communicate, and advise each department manager.
- Responsible for arranging all visitor/guest reservations, hotel, transportation, meeting rooms, lunch, dinners, building badges, mail distribution, order office supplies and general office support functions.
- Communicate all company messages, create and send internal memos, arrange company meeting invites, events and prepare and communicate the Global Employee Survey to the team.
- Liaison with our legal team on requests for new contracts which require the President’s signature, contract reviews and update old agreements.
- Work with the building security and maintenance team.
- Support the President and Manager as requested.
EDUCATION AND EXPERIENCE
Requirements:
- High School diploma or higher educational degree required.
- Strong communication and writing skills.
- Intermediate level knowledge of Microsoft Office Products.
- General business knowledge and strong organizational skills.
- Ability to multi-task and work effectively in a high stress environment.
- Experience or demonstrated ability to learn SAP, Infor CRM or similar system applications.
- Ability to work in a team environment, as well as independently.
- Willingness to learn and assist with various Operations department projects as needed.
