Parts Specialist (Junior to mid level) - International Manufacturing Experience


To successfully perform this job, the individual must be proficient in executing each essential function with a focus on parts delivery, tracking, and shipping. The following requirements outline the knowledge, skills, and abilities necessary for the role. The primary responsibilities of this position include, but are not limited to:

  • Assisting dealers and customers in identifying and quoting parts for delivery and shipment.
  • Regularly using parts lists, maintenance manuals, electrical diagrams, and parts drawings to ensure accurate parts identification for shipping.
  • Communicating frequently with factories to obtain technical guidance on part identification and shipment requirements.
  • Collaborating closely with local Technical Centers and Parts Facilities to ensure timely and accurate part deliveries.
  • Processing incoming quotes and orders, with a focus on ensuring efficient delivery and shipping to dealers and direct sales customers.
  • Verifying account status, updating information, and entering new customer data into the system with a focus on delivery accuracy.
  • Managing order processing tasks, including quoting, order entry, P.O. receiving, and coordinating with shipping and invoicing teams.
  • Maintaining organized records of customer files, sales orders, shipping documents, and invoices.
  • Processing credit card transactions for parts orders through an online system, ensuring seamless payment for shipped items.
  • Providing exceptional customer service by managing incoming phone calls related to parts delivery and shipping inquiries.
  • Handling return authorizations, ensuring the efficient processing of returned parts.
  • Following up daily on open quotes and orders to ensure timely delivery and shipment.
  • Uploading and maintaining customer accounting and shipping documents in Docushare.
  • Performing other duties related to parts delivery and shipping as assigned.


Minimum Requirements:

  • Associate or Bachelor’s Degree from an accredited institution.
  • Mechanical aptitude with the ability to understand parts and electrical drawings.
  • Strong analytical, problem-solving, and critical thinking skills.
  • Excellent organizational skills.
  • Proficient customer service phone skills, especially related to parts delivery and shipping.
  • SAP experience is preferred, any other tracking software is a plus.
  • Ability to multitask effectively in a fast-paced environment.
  • Ability to prioritize workloads, minimize errors, and maximize efficiency in shipping and delivery tasks.
  • Exceptional verbal and written communication skills.


Work Environment: The role involves working in warehouse, showroom, and office environments, with a focus on parts delivery and shipping. Potential exposure to hazards may include noise, electricity, chemicals, heavy equipment, and other automated and manual machinery.


Physical Demands:

  • Frequent activities: standing, walking, bending, stooping, lifting, pushing, pulling, and repetitive movements involving the feet, legs, hands, arms, shoulders, and torso, especially during parts handling and shipment preparation.
  • Periodic activities: operating power equipment, sitting at a desk, and using computers and phones for tracking and coordinating shipments.
