Position Overview
We are seeking an experienced Senior Administrative Assistant to support high-level executives in our Global Sustainable Finance division. This role demands a professional with a strong administrative and organizational background who can thrive in a fast-paced environment, providing comprehensive support to senior executives, including potential reporting to the Chief Operating Officer (COO). The ideal candidate has extensive experience in financial institutions, managing communications with C-suite executives, government officials, and key stakeholders.
Key Responsibilities
- Executive Support: Provide direct support to senior executives by managing complex calendars, scheduling meetings, and coordinating with internal and external stakeholders, including CEOs, CFOs, and other senior leaders.
- Communication Management: Oversee executive communications, fielding calls, managing emails, and taking accurate messages with discretion and judgment.
- Calendar & Travel Coordination: Proactively manage executive schedules, organize domestic and international travel, and process expense reimbursements using Concur.
- Meeting Preparation: Prepare briefing memos, compile background materials, and collaborate with cross-functional teams to ensure seamless meeting preparation.
- Stakeholder Liaison: Maintain senior executives’ client contact lists, schedule follow-ups, and facilitate smooth communication with stakeholders.
- Project Management: Oversee multiple objectives and projects in a high-pressure environment, ensuring efficient prioritization and support.
Qualifications
- Minimum of 10 years of senior administrative experience within a financial institution, supporting executive management.
- Exceptional written and verbal communication skills, with the ability to professionally interact with C-suite executives and high-level stakeholders.
- Strong organizational and time-management skills with attention to detail.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and OneNote) and Concur for expense management.
- Ability to work effectively under pressure, adapting to changing priorities with professionalism.
- Strong analytical and problem-solving skills to manage multiple priorities in a dynamic environment.
Top Must-Have Skills
- Proficiency with Concur for expense management.
- Advanced skills in MS Office Suite (Excel, Word, PowerPoint, and Outlook).
