Job Title: Specifications Specialist


Summary of Responsibilities This position is responsible for preparing project specifications, including general conditions, enhancing and maintaining master specifications, and determining innovative ways to meet client needs through the construction specification delivery process. Responsibilities include modifying specifications for specific projects, managing workflow pertaining to the project manual, and maintaining specification and materials resource libraries.


Essential Functions and Responsibilities

  • Create project manuals according to project schedules.
  • Interpret architectural and interior design plans and prepare material lists and specifications.
  • Modify or write architectural specifications and compile specification documents.
  • Coordinate with and assist other staff in determining appropriate specifications for specific projects.
  • Maintain master specification materials and products information files.
  • Issue bulletins on specification changes as developed.
  • Stay aware of products on the market and maintain the firm's library of catalogs and other information for designers and architects to use.


Qualifications To perform this job successfully, an individual must be able to perform each essential responsibility/duty satisfactorily. The requirements listed below are representative of the knowledge, skill, ability, and attributes required to succeed in the position.


Education and/or Experience

  • Degree in architecture, engineering, or related field preferred, or equivalent work experience.
  • Prior experience in building construction settings, including architecture firms, architecture/engineering firms, construction management, or specification consulting firms.
  • Minimum 5 years experience as an architectural specifications writer.
  • Strong knowledge of architectural design, engineering coordination, design trends, products, construction methodology, building systems, material application, and manufacturer/supplier appropriateness.


Knowledge, Skills, Abilities, and Attributes

  • Solid written, verbal, and interpersonal communication skills.
  • Acute knowledge of AIA contract documents and MasterFormat specifications.
  • Strong knowledge of building materials and the construction process.
  • Strong knowledge of building codes and ability to research and apply/incorporate them into technical documents.
  • Ability to prioritize and organize multiple tasks.
  • Keen attention to detail and ability to manage intertwining details and information.
  • Solid PC skills and demonstrated knowledge of Microsoft Office products.
  • Solid analytical skills.
  • Ability to work effectively both independently and as a team member with a client-centric and positive attitude.


Additional Important Information

  • This is a full-time position requiring the ability to work office hours of 7:30 am to 5:00 pm Monday through Thursday and 8:00 am through 12:00 pm (noon) on Friday.
  • Occasional overtime may be required.
  • The position involves working in an active office environment and requires the ability to efficiently operate all job-related office equipment.
  • Specific vision abilities required include close vision, color vision, depth perception, and the ability to adjust focus.
