General Purpose

The purpose of the Excel Automation Specialist job is to streamline and optimize business processes by leveraging advanced Excel capabilities. This role focuses on eliminating manual, repetitive tasks and replacing them with automated, efficient, and scalable solutions—saving time, reducing errors, and improving data accuracy across the organization. This role is critical in supporting teams with smarter scheduling, optimized reporting, and efficient tracking of sales, service requests, and technician performance. You'll work closely with operations, finance, payroll, sales, and customer service teams to eliminate manual tasks and build customized Excel tools that drive clarity and efficiency.

Key Responsibilities:

  • Design and build automated Excel-based tools for scheduling jobs, tracking leads, and managing technician routes.
  • Develop macros and VBA scripts to automate repetitive admin tasks (e.g., service logs, quote tracking, payroll prep).
  • Use Power Query to pull and clean data from multiple systems (e.g., CRM, scheduling platforms).
  • Create dashboards and reports to monitor KPIs such as job volume, sales conversions, square footage cleaned, and customer satisfaction.
  • Collaborate with operations and sales teams to understand bottlenecks and recommend automation solutions.
  • Maintain and update Excel tools to reflect changes in business processes or service offerings.
  • Train staff on how to use new spreadsheets and provide documentation to support adoption.
  • Identify new opportunities to digitize and improve field operations and customer data workflows.

Required Qualifications:

Strong expertise in Excel including:

  • VBA/macro development
  • Power Query and Power Pivot
  • Advanced formulas and logic

Experience automating operational workflows or service scheduling processes.

Analytical mindset with attention to detail and strong problem-solving skills.

Experience working in or supporting service-based industries (e.g., cleaning, HVAC, home services) or related industries.

2+ years in a role focused on process automation or data management.

Preferred Qualifications:

  • Familiarity with field service workflows (e.g., technician dispatch, job scheduling, invoicing).
  • Strong communication skills to support training and cross-functional collaboration.
  • Understanding of the carpet or commercial cleaning industry a plus.
