The Role: In this position, you’ll provide paralegal support to attorneys. This role is for a self-motivated individual who can perform duties effectively and efficiently with due diligence and a proactive approach. You'll play a pivotal role within our team, committed to delivering exceptional legal solutions. This position reports to Partners and Office Administrator.


Responsibilities include, but are not limited to:

  • Provide comprehensive administrative and paralegal support to legal team
  • Assist attorneys with various substantive responsibilities from case inception to resolution
  • Actively maintain/manage attorney’s business calendar and contact list
  • Assist in scheduling of events, telephonic conferences, meetings, and other professional appointments
  • Coordinate and schedule speaking engagements and travel arrangements
  • Effectively communicate calendar and case updates to handling attorney
  • Coordinate and oversee all case related discovery
  • Proactively monitor and track impending deadlines
  • Draft, review, analyze, edit, proofread, format, finalize routine correspondence, legal documents, forms, presentations and other document types in transactional matters using advanced knowledge and skills with word processing and other related software programs
  • Inputting attorney revisions to documents and PowerPoint presentations
  • Interact with firm clients, prospective clients and other business contacts via email and phone
  • Participate in initial client interviews, investigations, fact analysis, and conference calls as needed
  • Maintain professional demeanor when interacting with clients and business contacts
  • Assist with electronic filings
  • Analyze documentary evidence, including preparation of chronologies, timelines, etc.
  • Conduct legal research and analysis on a variety of topics; cite and fact checking, including pulling cases and documentations
  • Research, analyze, and interpret relevant state and federal laws and regulations including state labor codes, Title VII, ADA, FLSA, CFRA, & FMLA
  • Research governing rules and procedures for attorney review pertaining to employment and labor practices and strategies for avoiding liability exposure, including those related to HR practices, performance management, recruiting, hiring, leaves of absence, employee accommodations, compensation and benefits, and wage and hour matters, etc
  • Assist with the maintenance and management of physical and electronic files
  • Photocopy, scan, and fax documents
  • Prepare mail and courier packages for pickup/drop-off
  • Provide back-up support to other paralegals & legal administrative assistants as needed
  • Answers phone calls for attorneys and relay messages in a timely manner
  • Coordinate and assist with other special projects as assigned by Partners and/or Office Administrator


General Attributes

  • Proficiency with Microsoft Office Suite (including Word, Excel and Outlook), ADOBE, multi-line phone system, computer hardware, and document management systems
  • Working knowledge of Westlaw, PACER, and other legal research tools
  • Working knowledge of redlining documents
  • Ability to multitask on numerous assignments and deadlines simultaneously with minimal supervision
  • Ability to prioritize assignments and meet firm deadlines, pay close attention to detail, and maintain accuracy
  • Ability to compose, edit, and proofread legal documents, correspondence, and reports
  • High degree of self-accountability and ownership relating to assignments and initiatives
  • Critical thinker with strong problem-solving and research proficiencies
  • Strong interpersonal skills for effective communication (verbal & written) with internal and external contacts
  • Positive attitude, strong analytical abilities, and a willingness to learn
  • Ability to manage sensitive data
  • Ability to anticipate and resolve issues proactively
  • Strong working knowledge of the federal and state labor and employment laws, including administrative rules, regulations, and policies
  • Ability to anticipate, address, manage, and resolve complex legal and regulatory issues proactively


Qualifications

  • Bachelor’s Degree
  • Paralegal certificate from ABA-approved program
  • Minimum 2-5 years Partner level Paralegal support experience, performing the duties above
  • Intermediate computer skills (MS Office, Outlook) and familiarity with PDF creation, combination/separation, office equipment such as scanners, printers, and phones, Document Management System (NetDocuments)
  • Physical capacity to push, pull, or move carts and lift boxes up to 20 lbs.

  • The compensation offered to a candidate selected for employment will be dependent upon various factors, including the candidate's skills, educational and professional background, experience, and overall qualifications.
