Role Description
This is a full-time on-site role for a Patient Coordinator at AYA™ Medical Spa located in Buckhead, GA. The Patient Coordinator will be responsible for phone etiquette, appointment scheduling, receptionist duties, and ensuring smooth communication between patients and the spa.
Duties
- Warmly greet clients upon arrival, ensuring clients complete necessary paperwork and consent forms.
- Efficiently check clients out, and process payments for services and products.
- Assist walk-in clients with inquiries and purchases and respond to website inquiries.
- Managing incoming calls, directing them appropriately, and taking messages when needed.
- Scheduling appointments and conducting confirmation calls to ensure accuracy.
- Handling phone and online orders promptly and accurately.
- Maintain sales spreadsheets and perform basic accounting tasks, such as posting sales data and managing deposits and bills.
- Monitor appointments and bookings, addressing any issues that arise.
- Demonstrate comprehensive knowledge of all services and treatments offered.
- Keeping track of provider schedules and restrictions.
- Ensuring the office environment remains clean and organized.
- Deliver exceptional customer service by promptly addressing client concerns and resolving complaints.
- Facilitating effective communication among team members regarding supply needs, training requests, and performance updates.
Qualifications
- Excellent phone etiquette and communication skills
- Experience in appointment scheduling and receptionist duties
- Knowledge of medical terminology
- Strong interpersonal skills and ability to provide excellent customer service
- Attention to detail and organizational skills
- Ability to multitask and work in a fast-paced environment
- Prior experience in a medical spa or healthcare setting is a plus
- High school diploma or equivalent
