Job Title: Program Assistant

Reports to: Academy of Live Technology at Rock Lititz, Program Director

Position Type: Full-time


POSITION MISSION: (The essence of the job)

The ideal candidate will possess administrative skills and a background in the live event industry and have experience in a college/university setting. This role will require adaptability and willingness to grow into new responsibilities as the school continues to progress.



POSITION OUTCOMES: (What must get done and how will we measure success)

·     Manage the Program Director’s calendar, scheduling and coordinating meetings with a variety of stakeholders.

·     Track the ALT Operational budget, ensuring costs are properly tracked and updates are provided to staff as needed.

·     Coordinate travel for Program Director, providing itineraries and communications with necessary parties and connecting with the accounting team on needed receipts.

·     Create policy and communication documents in coordination with the Program Director, ensuring policies are cohesive and align with partners.

·     Utilize graphic and writing skills to produce informational documents designed to inform Rock Lititz Community members of standards for student interaction.

·     Manage projects and events which promote the ALT experience, including but not limited to conferences, student orientation and other special events on campus.

·     Project Manage student led productions that interact with Rock Lititz companies

·     Attend meetings, taking notes and providing minutes or next steps for projects, as requested.


JOB SKILLS:

CRITICAL

  • Minimum of three years of experience in Stage Management for theatre, Production Management, Project Management in Performing Arts or similar qualifications.

·      Exceptional organizational skills, with the ability to work around high profile clients.

·      Basic graphic creation skills.

o  Strong writing skills, experience in grant writing is a plus.

·      Strong interpersonal skills with the ability to work well with a diverse team and high-profile individuals.

·      Experience tracking budgets

·      Ability to thrive in a fast-paced, high-pressure environment.

·      Experience working in an institution of higher learning preferred.
